About the Role

The Maintenance Coordinator provides administrative and technical support to the Maintenance Department by coordinating preventive maintenance activities, maintaining equipment records, administering the Computerized Maintenance Management System (CMMS), and ensuring the accuracy of maintenance-related data.

This position will be responsible for ensuring the integrity, accuracy, and completeness of maintenance data, maintaining accurate equipment records, tracking machine and equipment hours, documenting completed work, and monitoring preventive maintenance compliance. This role will be responsible for providing reliable information for maintenance planning, equipment reliability, inventory management, and operational decision-making.

This is not a mechanical maintenance position. It is a technical administrative role focused on maintenance planning, scheduling, reporting, and data management. While prior mechanical or industrial maintenance knowledge is beneficial, the primary responsibilities involve organization, data entry, reporting, and coordination.

Qualifications

  • High school diploma or GED required.
  • Experience with CMMS software preferred.
  • Mechanical aptitude or industrial maintenance knowledge preferred but not required.

Physical Requirements

  • Ability to sit and work at a computer for extended periods.
  • Frequent walking throughout production and maintenance areas.
  • Ability to work in warehouse and production environments.

Essential Duties & Responsibilities

  • CMMS Administration
  • Enter repair, preventive maintenance, and equipment history data into the CMMS.
  • Maintain accurate equipment records and machinery catalogs.
  • Create, assign, and monitor preventive maintenance work orders.
  • Follow up with maintenance technicians to ensure work orders are completed on time.
  • Track and monitor preventive maintenance completion.
  • Gather equipment information to support development of preventive maintenance programs.

Data Collection & Inventory Management

  • Track machine and equipment operating hours
  • Maintain maintenance logs and historical equipment records.
  • Monitor recurring maintenance issues and communicate trends to management.
  • Perform inventory counts for maintenance parts and equipment.
  • Maintain inventory records within the CMMS or ERP system.
  • Assist with ordering maintenance parts and supplies.

Reporting & Administrative Support

  • Maintain spreadsheets and reports related to equipment performance and maintenance activities.
  • Ensure maintenance data entered into the CMMS, spreadsheets, and tracking systems is accurate, complete, and timely.
  • Audit maintenance records for completeness and follow up on missing information.
  • Develop and maintain Excel reports for PM compliance, equipment utilization, labor tracking, inventory, and maintenance metrics.
  • Identify discrepancies or trends within maintenance data and communicate findings to management.

Communication & Coordination

  • Communicate regularly with maintenance technicians regarding scheduled maintenance activities and department needs.
  • Coordinate preventive maintenance schedules to minimize operational disruption.
  • Work closely with Operations, Production, Warehouse, and Maintenance teams.

Compensation

  • Hourly position. Anticipated hiring range: $20.00 – $25.00 per hour, based on experience and qualifications.

Pay: $20.00 – $25.00 per hour

Expected hours: No less than 40.0 per week

Experience:

  • ERP systems: 2 years (Preferred)
  • maintenance managerial: 2 years (Required)
  • CMMS: 2 years (Preferred)

License/Certification:

  • Driver’s LIcense (Required)
