We are a non profit organization looking for a suitably qualified and experienced candidate for the position of
Secretarial, finance and administration.
We’re seeking an exceptionally detail-oriented and dynamic secretary to work full-time at our head office. The ideal candidate will bring resourcefulness, organization, and superb communication skills to the role.
Objectives of this role:
Optimize branch operations and oversee supplies, equipment, and processes.
Manage suppliers, donors and resources, nurture donor relationships, and ensure that best
practices are upheld
Perform a variety of clerical duties, such as responding to calls, emails, and requests. Support to the executive committee and board.
Determine which issues require immediate attention and communicate to leadership any
deviations from standard operating procedures
Responsibilities
Open the office daily, greet donors, answer and redirect phone calls, manage email, regular
mail, and correspondence
Prepare letters, reports, memoranda, tables, financial data, meeting minutes, forms, review
materials for accuracy and formatting.
Assist the board with coordination of schedules, appointments, daily operational tasks.
Establish and maintain record-keeping system for files, contacts, and branch directory.
Oversee office equipment and supplies, and initiate requisitions to replenish inventory of central buying.
Finance responsibilities, including payment preparation, recons, capturing of branch invoices and payment requests.
Issue tax receipts to donors country wide.
Manage debit order processing.
