Job Purpose:
Responsible for providing administrative support to the Project Teams to ensure smooth & efficient execution of projects. Providing administrative support to project managers, helping to maintain project documents & facilitate effective communication among stakeholders. Prepare reports, assist in ordering project materials, and organize operations schedules aimed at the flawless execution of the project.
Qualifications:
Matric (Grade 12)
N4-N6 Certificate or Diploma in Business Administration or Project Management
Diploma in Electrical Engineering (Advantage)
Experience:
3-5 years Previous experience in Project Administration and working with Project Managers & follow up with Suppliers on material.
2-3 years Coordination Experience relevant to Projects
2-3 years handling project documentation, tracking deadlines, and maintaining organized records.
Responsibilities:
Project Planning and Scheduling:
Assist in the development of project plans, schedules, and budgets.
Track project progress, deadlines, and deliverables to ensure timely completion.
Monitor and track project’s progress and handle any issues that arise
Oversee the progress in meeting clients’ needs as the project evolves
Documentation and Reporting:
Maintain comprehensive project documentation, including project plans, status reports, and meeting minutes.
Prepare and distribute regular project status reports to stakeholders.
Ensure all project documentation is up to date and stored appropriately.
Use project management tools to monitor timesheets and plans for sub-contractors.
Receive material/stock ordered and keep a checklist of all material available in the warehouse.
Communication and Coordination:
Contact Customers to confirm bookings Schedule and plan Projects Installations.
Assist with any ad-hoc tasks assigned by Project Manager
Act as a point of contact for project stakeholders, ensuring clear and effective communication.
Responsible for the capture of orders, creating delivery notes, following up on outstanding delivery notes from projects.
Resource Management:
Assist in resource allocation and management to ensure project tasks are adequately staffed.
Work closely with the team to purchase material required on site using.
Track project resources and expenses, ensuring alignment with the project budget.
Risk and Issue Management:
Identify potential project risks and issues and assist in developing mitigation strategies.
Monitor and report on project risks and issues, ensuring timely resolution.
Quality Assurance:
Assist in ensuring that project deliverables meet quality standards and project specifications.
Participate in project reviews and audits to ensure adherence to project management processes.
General & Training Development
To undertake professional development activities to maintain and extent competence.
Undertake Specific Client Training as required to fulfil role.
Undertake other tasks and responsibilities appropriate to the level of this post as required from time to time.
