As a Parts and Materials Coordinator, you will play a key role in supporting the day-to-day operations of our vehicle upfitting facility. You will be responsible for receiving, organizing, tracking, and distributing parts and materials needed by the Automotive Upfit Technician team.

You will work closely with technicians, leadership, vendors, and other internal teams to ensure the correct parts are available when needed and are properly associated with the appropriate vehicle and work order. This position requires strong organization, attention to detail, problem-solving skills, and the ability to manage multiple priorities in a fast-paced automotive environment.

Parts and Materials Coordinator Responsibilities Include:

  • Receive and verify parts, accessories, materials, and supplies delivered to the facility.
  • Inspect incoming parts for accuracy, quantity, and visible damage.
  • Match received parts to purchase orders, work orders, or vehicle requirements.
  • Organize and maintain parts and materials in designated storage locations.
  • Ensure parts are properly labeled and easily accessible to technicians.
  • Work closely with Automotive Upfit Technicians to identify and confirm the correct parts needed for assigned vehicle upfits.
  • Review work orders and vehicle requirements to ensure all necessary parts and materials are available before work begins.
  • Stage parts and materials for technicians based on vehicle assignments and production priorities.
  • Distribute parts to technicians and accurately track parts issued to each vehicle or work order.
  • Submit and coordinate parts orders with approved vendors and suppliers.
  • Monitor inventory levels and identify parts that need to be reordered.
  • Research parts availability, pricing, lead times, and alternatives when necessary.
  • Follow up with vendors regarding backorders, incorrect shipments, damaged parts, and other parts-related issues.
  • Communicate parts delays or shortages to the appropriate team members and leadership.
  • Help identify solutions when the correct part is unavailable or when a parts issue may impact production timelines.
  • Maintain accurate records of parts received, issued, returned, and ordered.
  • Coordinate the return of incorrect, damaged, or unused parts when applicable.
  • Assist with maintaining an organized and accurate parts inventory.
  • Support inventory counts and assist with resolving inventory discrepancies.
  • Ensure parts and materials are handled and stored safely.
  • Work closely with the Dispatch Coordinator and Automotive Upfit Technicians to support efficient vehicle flow and production schedules.
  • Maintain a clean, organized, and professional parts and materials area.
  • Follow all company safety, quality, and operational procedures.
  • Adhere to Suburban Automotive Services’ DRIVEN values and support the company’s mission and vision.

Parts and Materials Coordinator Qualifications and Skills:

  • High school diploma or GED required.
  • 1+ years of experience in parts, warehouse, inventory, materials coordination, automotive, or a related environment preferred.
  • Automotive parts or vehicle upfitting experience preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Strong critical-thinking and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to read and understand work orders, parts information, and basic technical documentation.
  • Basic computer skills with the ability to learn inventory, purchasing, and work-order systems.
  • Ability to work independently with minimal supervision.
  • Ability to work effectively with technicians, leadership, vendors, and other internal teams.
  • Strong customer-service mindset with a focus on supporting internal customers.
  • Self-motivated, dependable, and reliable.
  • Ability to identify and resolve parts-related issues in a timely manner.
  • Forklift or other material-handling equipment experience is a plus.
  • Valid driver’s license with an acceptable driving record.

Parts and Materials Coordinator Working Conditions and Physical Demands Include:

  • Must be willing and able to work onsite in an active automotive shop and warehouse environment.
  • Work is performed both indoors and outdoors and may involve exposure to varying temperatures and weather conditions.
  • Frequent standing and walking throughout the workday.
  • Frequent bending, twisting, kneeling, stooping, crouching, reaching, and lifting.
  • Ability to safely move and handle automotive parts, accessories, materials, and supplies.
  • Must be able to frequently lift and/or move items weighing up to 50 pounds.
  • May be exposed to automotive fluids, fumes, chemicals, dust, and other materials commonly found in an automotive shop and warehouse environment.
  • Must be comfortable working around moving vehicles, automotive equipment, and an active shop floor.
  • Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, color vision, and the ability to adjust focus.
  • Must be willing to work overtime or have schedule flexibility when required based on business needs.

Pay: $18.00 – $19.00 per hour

Expected hours: 40.0 per week
