Our client is a leading multi-residential leasing agency based in Canada. They specialize in accelerating the leasing process for property owners and managers by providing qualified tenants within tight timeframes. This role reports directly to the CEO, a dynamic entrepreneur with a clear vision and a fast-paced approach to business.

What is our client looking for?

An Executive Assistant who is a sharp thinker, quick problem solver, and natural organizer. You’ll be the CEO’s right hand, helping to bring clarity, structure, and support across day-to-day operations, communications, and strategic initiatives. This is a remote-first role suited to someone who thrives on autonomy, loves taking ownership, and understands the rhythm and demands of a startup environment.

Tasks & Responsibilities:

Bookkeeping Support: Entering data, reconciling invoices, managing AR/AP using QuickBooks Online.

Email & Calendar Management: Handling the CEO’s inbox, scheduling meetings, and flagging priorities.

Sales Coordination: Supporting the weekly sales strategy (e.g. posting schedules for agents, database upkeep).

Inventory & Systems Management: Keeping records and listings up to date; ensuring the backend is buttoned up.

Client Onboarding: Hosting onboarding calls.

Admin Support: Assisting with supply orders, internal updates, ad hoc tasks, and improving team systems.

Special Projects: Assisting the CEO with one-off initiatives, operational workflows, and team process improvements

Skills & Qualifications:

2+ years of experience as an Executive Assistant, Admin, or Operations Assistant.

Bookkeeping experience. QuickBooks Online and Airtable are a strong asset.

Proficiency in Google Sheets (required).

High level of English fluency, both spoken and written (French is a bonus but not required)

Highly organized, proactive, Detail-oriented, and great with time management.

Comfortable working remotely and flexibly, willing to go the extra mile.

Polished communicator: you’ll be client-facing at times, and professionalism matters.

Real estate experience is nice but not required.
