The Role: Workflow & Automation Architect
We’re looking for a strategic, tech-savvy problem solver to design and implement smooth, smart workflows across our teams. You’ll work remotely with both U.S. and South African colleagues—helping us streamline operations across accounting, recruitment, HR, and marketing.
You’ll act as the glue between systems and people, turning complexity into clarity and chaos into clean, automated flows.
What You’ll Do
1. Automate CPA Firm Operations
Automate client onboarding, staff setup, and accounting workflows
Build monthly bookkeeping/tax task flows
Integrate AI data feeds (e.g., TourNet AI → Azure Cognitive Services)
Streamline invoicing and alerts for overruns
2. Optimize Recruitment Systems
Score and track leads automatically
Auto-tag candidates and firms (recruitable vs. acquirable)
Manage outreach and follow-ups
Automate status updates across hiring stages
3. Boost Marketing Automation
Support drip campaigns, newsletters, and acquisition outreach
Build dashboards (open rates, click-throughs, response tracking)
Set up smart lead tagging from LinkedIn, web forms, etc.
4. Streamline Internal Collaboration & HR
Create hiring dashboards and progress tracking
Automate task assignments (social media, cold outreach)
Connect tools like Calendly, Slack, and Notion in real time
5. Monitor & Improve Systems
Review automation logs and fix issues (Zapier, Make, n8n)
Set up error alerts and fallbacks
Suggest ongoing system improvements
Tech You’ll Use
Automation: Zapier (Pro), Make, n8n
Ops Tools: Notion, Airtable, Karbon, QuickBooks Online
AI & Data: Azure Cognitive Services, TourNet AI
Collab: Slack, Calendly, Mailchimp, HubSpot
You’re a Great Fit If You Have:
2–3+ years in automation, systems design, or workflow architecture
Strong experience with CRMs, email automation, and productivity tools
Clear communication skills (especially with non-technical teammates)
A proactive, detail-driven mindset
Bonus Points If You Have:
Experience with South African/U.S. outsourcing or staffing workflows
Knowledge of accounting/tax software integrations
Built workflows in the recruitment lifecycle (e.g., Calendly → resume scoring)
Experience turning internal systems into client-facing tools
