PURPOSE OF THE ROLE
The Spa/Wellness Host is responsible for delivering an exceptional luxury guest experience while supporting the daily management and smooth operation of the spa.
This role combines front-of-house excellence, guest relations, spa coordination, administration, team support, and operational oversight. The successful candidate will act as the main point of contact for spa guests, ensuring seamless communication, efficient scheduling, and the highest standards of service across all spa facilities.
This is a highly guest-focused role requiring strong organisational ability, professionalism, attention to detail, and a passion for wellness and luxury hospitality.
ESSENTIAL REQUIREMENTS
- Minimum 5–8 years’ experience in luxury hospitality, spa operations, or guest relations
- Previous experience in spa reception, concierge, or supervisory roles required
- Strong understanding of luxury guest service standards
- Excellent organisational and administrative abilities
- Strong communication and interpersonal skills
- Computer literacy (Microsoft Office and spa booking systems
- Professional appearance and grooming standards
- Ability to work effectively under pressure in a fast-paced environment
- Strong attention to detail and problem-solving ability

KEY PERFORMANCE AREAS
1. Guest Experience & Front-of-House Excellence
- Welcome guests warmly and professionally upon arrival
- Manage guest check-ins, check-outs, and appointment confirmations
- Handle guest enquiries, emails, calls, and requests efficiently
- Ensure a seamless, personalised, and luxury spa experience
- Anticipate guest needs and resolve concerns promptly
- Maintain a calm, organised, and luxury reception environment
- Support VIP guests, group bookings, and wellness experiences
- Promote spa services, treatments, and retail products
2. Spa Operations & Daily Management
- Support the Spa Manager in daily spa operations
- Ensure spa facilities are operational and guest ready at all times
- Coordinate therapists, reception, housekeeping, and maintenance teams
- Conduct regular operational checks across all spa areas
- Maintain consistent service standards and procedures
- Assist in resolving operational challenges efficiently
- Ensure smooth daily workflow across departments
3. Spa Coordination & Scheduling
- Manage and coordinate all spa bookings and treatment schedules
- Allocate therapists and treatment rooms efficiently
- Prevent scheduling conflicts and double bookings
- Communicate booking changes and guest requests timeously
- Prepare daily schedules and operational updates
- Ensure therapist awareness of guest preferences and special requests
- Monitor booking flow and operational efficiency
4. Operational Readiness & Facility Standards
- Ensure spa areas are clean, organised, and luxury presented
- Conduct regular inspections of spa facilities and equipment
- Ensure towels, amenities, and guest supplies are fully stocked
- Coordinate housekeeping and maintenance requirements
- Monitor equipment functionality and safety standards
- Assist with room preparation during busy periods
5. Administration, Reporting & Stock Control
- Maintain accurate guest records and booking documentation
- Process payments and assist with daily cash-up procedures
- Compile daily, weekly, and monthly operational reports
- Support stock control and inventory management processes
- Monitor retail displays and product presentation standards
- Assist with invoicing and administrative accuracy
- Minimise stock wastage through proper control systems
6. Communication & Team Collaboration
- Maintain strong communication between spa, lodge, and guests
- Ensure guest requirements and preferences are clearly communicated
- Support teamwork across all spa departments
- Attend meetings and operational briefings
- Assist colleagues during peak operational periods when required
- Escalate guest feedback and operational issues appropriately
7. Team Support & Development
- Assist with onboarding and induction of new staff
- Support therapist coordination and operational guidance
- Promote professionalism and service excellence within the team
- Assist management with training and performance support
- Encourage continuous improvement and learning
- Foster a positive and accountable team culture
8. Brand Standards & Business Support
- Uphold the spa’s luxury brand image and service philosophy
- Ensure all guest-facing areas maintain exceptional presentation
- Support spa promotions, wellness offerings, and revenue initiatives
- Contribute to operational efficiency and guest satisfaction improvements
- Represent the spa professionally at all times
