Role Overview

The Records & Warehouse Supervisor manages the physical records warehouse operations, including receipt, cataloguing, storage, retrieval, movement, and ultimate disposition of physical records. This role ensures the integrity and security of all physical records in the regional facility, compliant with NARS and SASS retention schedules.

Key Responsibilities

  • Oversee all warehouse operations including receipt, barcoding, shelving, retrieval, and return of physical records.
  • Ensure accurate inventory management of all records held in the regional warehouse.
  • Implement and maintain a Records Management System (RMS) for tracking all boxes and files.
  • Manage the Records Inventory Analyst and Records Handlers, assigning daily tasks and monitoring performance.
  • Coordinate with the Logistics Coordinator for secure and timeous transport of records to and from SASSA sites.
  • Maintain the warehouse environment in compliance with fire safety, pest control, humidity, and security requirements.
  • Enforce access control and chain-of-custody protocols for the physical records store.
  • Prepare inventory and movement reports for SASSA and internal management review.
  • Liaise with the Regional Manager to coordinate batch handovers for digitisation.
  • Implement retention schedules and coordinate records disposal/destruction in line with SASSA authority.
  • Ensure compliance with POPIA, National Archives Act and ISO 11799:2024  in the warehouse operations.

Minimum Qualifications & Experience

  • National Diploma or Degree in Records Management, Information Management, or Logistics (NQF Level 6/7).
  • Minimum 5 years' experience in records/document management or warehousing.
  • At least 2 years in a supervisory role.
  • Knowledge of records retention legislation and archival standards.
  • Experience with warehouse management or records management software.
