Purpose and role of job:

The Warehouse Administrator supports warehouse operations by coordinating outbound shipments, maintaining accurate inventory control, and ensuring all administrative and documentation requirements are met. This role serves as the central control point for order flow and resource coordination under the direction of the Warehouse Manager.

Principal Accountabilities/ Responsibilities:

1. Outbound Shipments & Orders

  • Own all outbound sales orders: print, stage, verify accuracy, and prioritize Logistics Team workload to meet shipment deadlines.
  • Collaborate with Customer Service to confirm approvals and plan for future order requirements.
  • Schedule freight carriers to meet deadlines, optimizing transportation and preventing delays.
  • Coordinate with Quality to align material releases with production and outbound schedules.

2. Logistics & Documentation

  • Act as the control point for warehouse flow, documentation, and reporting to ensure efficient daily operations.
  • Oversee FIFO practices and set picking priorities for accurate, timely fulfillment.
  • Ensure all shipping documentation (packing slips, bills of lading, ASN files) is accurate and compliant.
  • Inspect inbound and outbound trailers, reject unsuitable equipment, and maintain carrier scorecards.

3. Inventory & Waste Management

  • Oversee material movement across all facilities, maintaining visibility of inventory levels and locations.
  • Administer cycle counts and variance analysis in ERP; investigate discrepancies and issue timely reports with Finance updates.
  • Monitor scrap trailer activity, verify contents, and arrange prompt carrier pick-ups.

4. Supplies & Expenses

  • Coordinate procurement of warehouse supplies and process WHSE expenses through the purchasing system, ensuring cost control and compliance.

5. General

  • Perform other duties as assigned to support overall warehouse operations.

Education and experience requirements:

· Minimum 5 years of warehouse logistics or administration experience.

· Strong proficiency with MS Office Suite; advanced Excel skills required.

· Experience with ERP systems for order, inventory, and reporting functions.

· Strong analytical and math skills.

Work Environment:

· Primarily office-based, with frequent interaction on the warehouse floor.

· Regular collaboration with Logistics, Customer Service, and Quality teams.

· Travel between buildings and off-site warehouses as needed.

Physical Requirements:

Must be able to speak, walk, use computer, reach. Must be able to analyze numbers and recognize the need for adjustments. Travel between buildings required. Must be able to lift up to 30 lbs unaccompanied.

Pay: $25.00 per hour

Expected hours: 40.0 per week
