Full Job Description
A Track Workshop Administrator, aged between 25-40 years of age who is fully bilingual in English and Afrikaans, is needed for a crucial role in ensuring the smooth operation of a workshop that supports track assemblies and repair work. Candidates residing within 20km of Pomona will be preferred. The responsibilities will be a blend of administration and coordination. Below are key duties that is expected of this role:
1. Administrative Support
Manage daily administrative operations of the workshop.
Maintain accurate records of job cards and movement of stock.
Handle filing systems (physical and digital) for work orders, maintenance logs, and compliance documents.
2. Scheduling and Coordination
Schedule maintenance, repairs, and calibrations of equipment as requested by manager.
Organize staff rosters and manage attendance tracking.
Coordinate with suppliers, contractors, and transport providers as needed.
Direct liaison between operations and sales reps to ensure accuracy and completeness of all required work and stock items listed on job card:
3. Inventory and Asset Management
Monitor stock levels of tools, spare parts, and consumables.
Raise purchase orders requests and track deliveries.
Conduct regular inventory checks and report discrepancies.
4. Health & Safety Compliance
Ensure workshop operations comply with safety regulations and company policies.
Maintain safety records, including accident reports and safety drills.
Support implementation of safety training and audits.
5. Communication and Reporting
Serve as a liaison between workshop staff, management, other departments, and branches.
Prepare and distribute regular reports on workshop performance, maintenance schedules, and incident logs.
Respond to internal and external inquiries professionally and promptly.
6. System and Database Management
Use Kerridge and Sharepoint for operational requirements and asset tracking systems for company vehicle.
Input and update job cards and maintenance/calibration schedules.
Generate reports from digital systems for review and decision-making.
7. Financial and Budget Assistance
Keeping proper financial document control and ensure timeous delivery of document to Finance department at Head office.
Credit recons and slips control.
Regular supplier price comparisons.
Salary dependant on experience.
