Travel Administrator | Luxury Property Group | Cape Town

Salary:
Negotiable depending on experience

Kendrick Recruitment is currently seeking a meticulous and service-driven Travel Administrator to join a prestigious luxury property group based in Cape Town
. This role plays a key part in supporting the guest journey by ensuring that every aspect of the travel experience is expertly planned and seamlessly executed. The ideal candidate will have exceptional organizational skills, a strong eye for detail, and a passion for delivering outstanding service.

Key Responsibilities:

Administrative & Operational Support:

Manage the travel inbox and distribute or handle inquiries as required

Track and allocate invoice payments appropriately

Provide proactive reporting on provisional bookings

Perform regular accuracy checks on all bookings across properties

Assist with the issuing of flight tickets and coordinate internal travel logistics for senior management

Communicate effectively with third-party suppliers to confirm services arranged for guests

Monitor and manage due payments and follow up to ensure timely completion

Generate operational and management reports as needed

Offer general administrative support across the team

Guest Retention & Communication:

Deliver prompt and professional responses to client inquiries

Conduct detailed guest profiling to ensure accurate and personalized service

Build and maintain strong relationships with agents, including managing agent familiarisation and educational trips

Coordinate with Operations teams to ensure smooth guest travel experiences

Ensure all relevant booking information is accurately captured and shared

Track and manage data related to repeat business

Travel Arrangements:

Support Travel Designers in understanding guests’ preferences, needs, and budgets

Demonstrate expert destination knowledge, including Time + Tide properties and other locations

Create detailed travel itineraries using in-house itinerary tools

Book domestic and international flights, as well as additional third-party services

Experience, Qualifications, and

Competencies:

Proficient in Microsoft Suite (Outlook, Excel, Word)

Knowledge of Res Request, Safari Portal, and Hub Spot is an advantage

Strong passion for the luxury travel industry

Excellent written and verbal communication skills

Proven accuracy and attention to detail in all tasks

Strong customer service orientation with a proactive mindset

Skilled in negotiation and problem solving

Exceptional planning and organizational ability

Creative thinker with initiative

Collaborative team player who shares knowledge and contributes ideas

Professional demeanour with a positive and engaging attitude

Ability to build relationships with individuals across cultures

Flexibility to work outside standard office hours when required
