Job Context
Accountable for managing and continuously improving the team, processes and controls responsible for high-volume position management, organisational structure administration, HR core data maintenance, workforce data governance and related service delivery across DP World Africa. The role ensures standardized, accurate and timely execution of position, organisational structure and HR master data activities across the employee lifecycle through effective workflow design, service governance, team leadership and operational controls. It balances service delivery, team productivity, stakeholder experience, data integrity, compliance and continuous improvement to maintain a single, trusted source of workforce information and support effective workforce planning, payroll accuracy, organisational design and decision making across Business Units in Africa. The role partners closely with HR Operations, HR Business Partners, other HR Centres of Excellence, Payroll, Finance, line managers and employees to embed standard processes, strengthen service performance, build team capability and support audit readiness.
Key Performance Accountabilities:
- Position Management and HR Core Data Service Delivery – Lead and manage the delivery of high-volume, standardized position management, organisational structure administration, HR master data maintenance and related service activities through the Position Management and HR Core Data team, ensuring timely, accurate and consistent execution against defined service levels.
- Process Design, Standardization and Work Management – Define, implement and continuously improve end-to-end operational processes, workflows, service rules, standard operating procedures and work instructions across position management, organisational structure and HR core data activities, ensuring activities are performed efficiently, consistently and in line with governance requirements.
- Workflow Allocation, Capacity Planning and Productivity Management – Plan and manage team capacity, workflow allocation, queue management and resource utilisation across position management, organisational structure and HR core data activities, balancing peaks and troughs in demand and ensuring service continuity, productivity and effective workload distribution.
- Position Management and Organisational Structure Oversight – Oversee the team’s delivery of position creation, modification, reclassification, transfer, freeze, activation and abolishment activities, as well as organisational structure maintenance, reporting line updates and hierarchy administration, ensuring service quality, adherence to timelines, completeness of documentation and alignment to approved organisational design, workforce planning and budget decisions.
- HR Master Data, Systems and Access Oversight – Oversee the team’s delivery of employee master data administration, data correction, record maintenance, workflow support and related HR systems activities, ensuring required validations, approvals, controls, security access requirements and stakeholder handoffs are completed accurately, timeously and in accordance with legal, policy and operational requirements.
- Service Performance, SLA Management and Operational Control – Monitor operational performance across position management and HR core data activities, including service levels, turnaround times, productivity, throughput, backlog volumes, aged cases, escalation trends and stakeholder satisfaction, and take corrective action to maintain service performance and operational discipline.
- Quality Management – Establish and maintain quality controls across Position Management and HR Core Data Operations, monitor errors, rework, data defects, service defects and process deviations, and implement corrective actions, root cause analysis and continuous improvement initiatives to strengthen right-first-time delivery and data reliability.
- Escalation Management and Complex Issue Resolution – Act as the escalation point for complex, sensitive or high-risk position management, organisational structure administration, workforce data and HR systems-related issues, coordinating resolution across stakeholders and ensuring risks, exceptions and employee or business impacts are managed appropriately.
- Data Integrity, Reporting and Operational Insight – Ensure the accuracy, completeness and integrity of position, organisational structure and workforce data across relevant systems, and produce operational reports and insights on service volumes, workforce structures, headcount, vacancy rates, position occupancy, reporting relationships, risks, trends and improvement opportunities to support decision-making and operational oversight.
- Effective Self-Management and Professional Contribution – Demonstrate personal accountability, professional integrity and solution-oriented thinking, maintain up-to-date knowledge of position management, HR core data, service delivery and governance practices, and contribute to the ongoing maturity of the HR function across DP World Africa.
Qualifications:
- Minimum bachelor’s degree in human resources management, Business Administration, Information Systems, Operations Management, or a related field is required.
- Professional certifications in HR, HRIS, Shared Services, Process Improvement, Quality Management, Project Management, or similar will be advantageous.
Skills and Experience:
- Minimum of 6 – 8 years’ experience in HR Operations, Shared Services, position management, HR core data administration, HR systems, or service delivery environments, with at least 4 years in a team lead or people management role in a high-volume, complex or multi-country context.
- Proven experience leading teams responsible for position management, organisational structure administration, HR master data maintenance, workforce data governance or employee lifecycle coordination, with accountability for productivity, workload management, service quality and SLA performance.
- Demonstrated experience in defining, implementing and improving operational processes, standard operating procedures, workflow controls and service standards to drive consistency, efficiency and compliance.
- Strong experience in managing escalations, complex service issues, stakeholder queries and cross functional coordination across HR Operations, Payroll, Finance, HRIS, Talent Acquisition, Organisational Effectiveness, line management and external providers.
- Proven experience in monitoring operational performance through service metrics, including turnaround times, backlog volumes, productivity, quality, customer satisfaction and escalation trends, and using data to drive corrective action and continuous improvement.
- Sound understanding of position management, organisational structure maintenance, HR master data governance, workforce reporting, governance controls, data privacy and audit requirements. Experience working with HR ERP / HCM systems, case or ticketing platforms and reporting tools in support of operational service delivery and management reporting.
