About the Group

The Group is an established professional-services business operating across transformation advisory, corporate finance, people development, enterprise development, and consulting.

With approximately 45 employees, the Group is strengthening its systems, operations, and AI capability to support its next phase of growth. We are looking for a hands-on Systems & AI Implementation Manager to lead this work.

About the role

This is a newly created role at the centre of the Group’s operations and technology environment.

You will take ownership of core business systems, improve processes, drive adoption, and embed practical AI-enabled ways of working across finance, operations, consulting, marketing, and client delivery.

This is not a pure IT or strategy role. It is a hands-on implementation role for someone who can engage confidently with executives and also configure systems, document processes, build workflows, and drive delivery.

Key responsibilities

  • Own and improve systems including Accelo, HubSpot, ClickUp, UpSlide, Microsoft 365, and related tools.
  • Improve data quality, system adoption, time recording, billing, utilisation, pipeline visibility, and project profitability reporting.
  • Develop dashboards, reports, SOPs, process guides, and accountability structures.
  • Identify and implement practical AI use cases using tools such as Claude, ChatGPT, Teams, Gamma, and UpSlide.
  • Build reusable prompts, workflows, templates, and training materials.
  • Map and improve business processes, remove bottlenecks, and reduce manual work.
  • Work with finance and operations to strengthen reporting, capacity planning, project tracking, and resource management.
  • Drive adoption across approximately 45 employees, including senior stakeholders.
  • Hold teams accountable for deadlines, system usage, and process compliance.
  • Measure outcomes such as time saved, improved quality, stronger reporting, and productivity gains.

What success looks like

Within the first three months, core systems should be functioning properly, users trained, data cleaned, key SOPs documented, and initial AI use cases implemented.

By six months, leadership dashboards should be live, system adoption should exceed 90%, manual reporting should be reduced, and several AI-enabled workflows should be embedded.

By nine months, systems should operate through clear ownership and documented processes, AI-enabled working should be part of everyday delivery, and measurable productivity gains should be evident.

Qualifications and experience

  • Bachelor’s degree in either Business, Finance, Information Systems, Engineering, IT, or a related field.
  • 5–8 years’ experience in operations, consulting, systems implementation, business improvement, or a similar environment.
  • Experience implementing or materially improving CRM, PSA, ERP, workflow, or project-management systems.
  • Proven experience writing SOPs and improving business processes.
  • Practical, hands-on use of AI tools in your current work.
  • Strong numerical, commercial, project-management, and stakeholder-management skills.
  • Experience working across finance and operations is advantageous.
  • An MBA or postgraduate qualification would be beneficial but is not required.

The kind of person who will thrive

You take ownership, bring structure to unclear situations, and follow work through to completion.

You are highly organised, disciplined, and detail-oriented. You enjoy improving systems, cleaning up processes, and making sure things work properly after implementation.

You are confident and able to challenge colleagues and senior leaders professionally when commitments are not being met.

You are curious about technology, comfortable experimenting with AI, and able to turn new ideas into practical business improvements.

You work well with both people and data, remain calm under pressure, and are collaborative without being a passive people-pleaser.

The ideal candidate is assertive, dependable, commercially aware, emotionally steady, and motivated by measurable results.

This role is not

  • A pure IT support or developer role.
  • An entry-level position.
  • A passive system-administration role.
  • A remote strategy role.
  • A role for someone who requires close daily supervision.
  • A role for someone who enjoys proposing solutions but not implementing them.

Application requirements

Please submit:

  • Your CV.
  • A short motivation.
  • Examples of systems you have implemented or improved.
  • Examples of processes, SOPs, or AI-enabled workflows you have designed.
  • Your current salary, expected salary, and notice period.

Candidates must be able to demonstrate practical AI and systems implementation experience, not only an interest in technology.
