Who We’re Looking For
We need a sharp, proactive, and creative Operations & Projects Manager who thrives working with designers and artists, and who can hold the pulse of our studio. You’ll be the glue between ideas and execution. Making sure our schedule, people, projects, and processes run smoothly week after week.
Key Responsibilities
– Studio Operations:
* Schedule monthly studio work to ensure a healthy mix of paid client work, business development, and internal projects
* Generate and send quotes and agreements
* Schedule out project timelines and deliverables
* Provide a weekly update covering all projects, invoicing, and financial status (liaising with accounts)
– Project Management:
* Manage timelines and coordinate with the creative team to ensure deadlines are met
* Communicate regularly with clients, keeping them informed and engaged
* Carry out quality checks before deliverables go out
* Conduct project post-mortems to ensure team satisfaction, client happiness, and profitability
– Process & Systems:
* Help build and maintain clear SOPs (Standard Operating Procedures)
* Support the development of a simple CRM to manage projects, sales, and communication
* Monitor studio capacity and recommend staffing needs as we grow
– Sales & Marketing Support:
* Assist in rolling out sales strategies and keeping the pipeline active
* Generate weekly content ideas (from prompts or discussions) and coordinate with the design/content team to bring them to life for social media and SEO
Who You Are
You’ve worked in a creative or design-driven environment before. You speak fluent “creative” and know how to support a team of designers without stifling them
You’re organized, detail-oriented, and obsessed with timelines and systems
You’re a proactive communicator who brings clarity to the chaos
You understand the business side of design and love making sure a project is not just beautiful, but profitable
Experience with project management tools (like Notion, Trello, Asana), CRMs, and basic sales processes is a must.
Salary: +- R30 000 commensurate with experience
