Purpose of the Position
To assist the Events Manager, create, coordinate and manage all the different components of an event as well as the teams of people responsible for each aspect.

Objectives
Tasks
Planning & Organizing
Organize and co-ordinate internal and external events according to brief.
Deliver end-to-end events management services.
Creative Ideation: Take a clear brief from the client and conceptualise creative theme for the event.
Manage guest list and RSVP’s for events.
Plan and coordinate events logistics and set-up.
Ensure implementation of Brand plans.
Order promotional items and ensure their delivery.
Ensuring application of event management policies
Operational Excellence
Crisis management – having alternate plans in place for eventualities
Ensure all health and safety aspects of an event are in place
Strong Event administration and logistics
Keep abreast of latest innovation and trends in events management for application in the organization including the latest technology enabled applications for RSVP handling, etc.
Budgeting & Reporting
Budget control – make sure events are done within budget and ensure that suppliers are paid as per agreement
Accurate and on-time accounts management of suppliers to ensure supplier accounts are paid on time and against orders
Compile detailed activity reports for management review Ensure all documents and photos are saved on the share drive (Sharepoint)
Relationship Building
Provide regular feedback to Event Manager and Client
Provide post-event feedback to clients
Efficiently manage and leverage events resources and suppliers to ensure a professional quality event
Build strong relationships with clients and vendors to deliver on events requirements
Qualifications
A Degree in Events Management (Post Grad advantageous)
Experience
At least 5-8 years’ experience in the events coordination role or similar.
Three years of experience planning and executing events.
Ability to introduce new ideas and foresee potential problems at events.
Communication and writing skills adapted to fit different styles, particularly with outside vendors.
High attention to detail and the ability to establish priorities.
Ability to work within a budget and very tight timeline. Flexibility to travel and work long hours
