Position: Service Charge Reconciliation Analyst (Must Speak Fluent German
Job Purpose
This role is responsible for the accurate validation, reconciliation, and processing of service charge invoices to ensure alignment with lease agreements, financial policies, and
legal compliance
. The Service Charge Reconciliation Analyst will perform detailed
financial analysis
, liaise with landlords and stakeholders, and support real estate cost recovery processes.
Ideal for a detail-oriented finance professional with strong
analytical skills
and fluency in German, this position requires a sound understanding of real estate leases and service charge structures.
Key Responsibilities
Review and validate monthly invoices and annual operating expense reconciliations against lease agreements, budgets, and supporting legal documents.
Conduct detailed audits of high-value service charge reconciliations, including line-by-line comparisons and variance checks.
Verify mathematical accuracy of invoices and accompanying documentation.
Initiate and manage objection letters for disputed charges and track resolutions.
Perform full reconciliations using internal checklists and submit for second-level validation.
Track processing, validation, and communications using Salesforce and Sequentra systems.
Update financial systems with approved charges and initiate conditional payments.
Prepare reports detailing reconciliation status, savings, and compliance metrics.
Collaborate with internal teams, landlords, and client stakeholders to resolve discrepancies and ensure timely processing.
Requirements
Experience
Minimum of 2 years’ experience in accounts payable, lease administration, or real estate finance.
Familiarity with service charge processes and reconciliation across multi-property portfolios.
Skills & Attributes
Excellent analytical and detail-oriented approach to financial data.
Strong communication skills for professional correspondence and reporting.
Highly organized with the ability to manage multiple priorities and meet deadlines.
Proficient in Microsoft Excel; experience with Salesforce and Sequentra is an advantage.
Process-driven with a continuous improvement mindset.
Educational Requirements
Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
Language Requirement
Fluency in German (written and spoken) is mandatory.
