Role Overview

The Team Lead is a working leader who supervises a designated team of scanning floor staff, ensuring daily production targets are met, quality is maintained, and team members are engaged and supported. Each Team Lead is responsible for a defined workflow segment or shift within the scanning operation.

Key Responsibilities

  • Supervise and coordinate the daily activities of allocated scanning floor staff (Document Preparation Technicians, Scan Operators, Indexing Specialists).
  • Conduct morning briefings, allocate work batches, and track progress against daily targets.
  • Perform first-line quality checks on prepared, scanned, and indexed documents.
  • Report production stats, quality issues, and equipment faults to the Regional Manager.
  • Train new team members on SOPs, equipment usage, and quality standards.
  • Manage absenteeism and timekeeping for the allocated team; escalate issues to the Regional Manager.
  • Ensure all chain-of-custody documentation is completed accurately at each workflow stage.
  • Motivate and develop team members, fostering a high-performance, collaborative work culture.
  • Participate in continuous improvement initiatives and relay floor-level feedback to management.

Minimum Qualifications & Experience

  • Matric/Grade 12 certificate (minimum).
  • Diploma in Information Management, Business Administration, or related field advantageous (NQF Level 5/6).
  • Minimum 3 years' experience in a document scanning or records management environment.
  • At least 1 year in a team leader or senior operator capacity.

Key Competencies & Skills

  • Strong leadership and interpersonal skills.
  • Solid understanding of scanning workflows and quality requirements.
  • Good numeracy for production tracking and reporting.
  • Ability to motivate and develop junior staff.
  • Proficient in MS Office basics and scanning system dashboards.
