MAIN PURPOSE:
To perform all secretarial and administrative duties for the sales department personnel as well as conducting service calls to existing clients.
KEY PERFORMANCE AREAS:
1. Co-ordinates and updates sales activities on the CRM.
2. Files and manages all sales related documents & literature.
3. Prepares weekly visit reports and participates in weekly sales meetings.
4. Records messages and assists in any sales related matters and queries.
5. Prepares estimates, proposals, quotes and participates in tenders.
6. Arranges client entertainment, promotional items and activities.
7. Focuses on extending sales within the existing customer base as well as sourcing and managing sales leads.
8. Completes client questionnaires on a continuous basis together with clients and in accordance with EN ISO 9001:2015.
9. Ensures that EN ISO 9001:2015 quality standards and procedures are adhered to.
10. Complies with all health and safety procedures and regulations stipulated in the Occupational Health and Safety Act No. 85 of 1993.
11. Any other duties assigned by Management.
MAIN RESPONSIBILITIES:
1. Co-ordinates and updates sales activities on the CRM.
1.1 Load new clients’ contact details.
1.2 Manage and log the Sales Representatives’ appointments.
1.3 Manage the Sales team’s schedule.
1.4 Continuously manage, prepare, and log sales activities on a regular basis.
1.5 Manage and record unsuccessful attempts to set up appointments.
1.6 Continuously manage/update to ensure client information is correct on the system.
2. Files and manages all sales related documents and literature.
2.1 Files documents into the client’s master file and attends to administrative requirements related to the sales function.
2.2 Files all relevant information regarding clients, agents and company offices.
2.3 Keeps all filing up to date.
2.4 Processes account application forms.
2.5 Receives all credit applications from sales staff and ensures that these are correctly completed before presentation to the administration department.
3. Prepares weekly visit reports and participates in weekly sales meetings.
3.1 Completes weekly visit reports on the CRM.
3.2 Types general correspondence and participates in weekly sales meetings.
3.3 Takes minutes at the sales meetings.
3.4 Participates and attends any training related seminars or tutorials that will benefit the company and personal growth.
3.5 Prints statistical reports for the various functions.
4. Records messages and assists in any sales related matters and queries.
4.1 Makes sure all messages are passed on timeously so that clients will be contacted as soon as possible.
4.2 Attends to telephonic requests for quotations by obtaining the necessary information.
4.3 If sales representatives are not available, communicates with the relevant departments to sort out queries and reverts back to the client.
4.4 Researches target accounts before initiating sales calls.
4.5 Follows and chases up queries with sales representatives to make sure that clients are satisfied.
4.6 Reports any irregularities in terms of customer dissatisfaction.
5. Prepares estimates, quotes, proposals and participates in tenders.
5.1 Assists the Sales team in preparing and completing quotes and proposals.
5.2 Assists with the request for rates from suppliers and overseas offices and agents.
5.3 Assists with the completion of tender documents.
6. Arranges client entertainment, promotional items and activities.
6.1 Arranges and assists Branch Management with client functions and activities.
6.2 Manages the distribution of promotional items.
6.3 Participates in client/agent promotional activity and/or entertainment.
7. Focuses on extending sales in terms of existing customer base and sources and manages sales leads.
7.1 Continuously monitors sales activities and servicing of the current client base with the focus on obtaining further business or new routings.
7.2 Manages sales leads and communicates with overseas offices and agents on the outcome.
7.3 Prepares and obtains all relevant information for updating rates and profile sheets for customers.
7.4 Sources new sales leads on a regular basis and distributes to the relevant sales person.
7.5 Continuously benchmarks the company’s rates in the marketplace.
7.6 Monitors competitor activity and market trends and developments.
8. Completes client questionnaires on a continuous basis together with clients and in accordance with EN ISO 9001:2015.
9. Ensures that EN ISO 9001:2015 quality standards and procedures are adhered to.
9.1 Participates in audits and regularly reviews consignment problem logs, taking whatever corrective steps are necessary and appropriate.
10. Any other duties assigned by Management.
REQUIREMENTS:
● Approximately 3–5 years’ relevant experience in indoor sales, sales administration, sales coordination or inside sales support (candidates with a proven track record will also be strongly considered).
● Experience within the freight forwarding, logistics or supply chain industry is highly advantageous.
● Based in Cape Town (or willing to relocate at own cost).
● Strong administrative and organisational skills with high attention to detail.
● Excellent communication and client-service orientation.
