Location: Randburg
Manage the activities of the payroll department to ensure accurate and timeous payment of salaries and wages.
Ensure that all legal and legislative requirements relating to payroll are adhered to.
Process all death, disability, and termination claims.
Key Relationships (Internal & External):
Internal: HR, Finance, Management, all staff
External: SARS, Sage / VIP, RMA, WCA, UIF, Medical Aid SP, Provident Fund(s) SP, ERS, ad hoc contractors/service providers, MIBCO
Critical
Experience:
10 years + payroll management experience in a medium-sized organization, working on multiple payrolls, both monthly and weekly.
Experience with SARS returns.
Comprehensive knowledge of MIBCO agreement.
Comprehensive knowledge of Sage 300 People.
Clocking system (ERS Biometrics) knowledge.
Intermediate financial knowledge.
Matric and/or payroll diploma or accounting qualification.
Technical (Systems) Knowledge
Required:
Sage 300 VIP Payroll (People) System.
Microsoft (all suites) – Advanced.
Relevant payroll system.
SARS online systems.
Online banking systems.
WCA / RMA online.
Completion and Submission of All Statutory and Legislated Requirements:
Monthly EMP 201
Annual WCA return of earnings
Bi-annual SARS submissions
Support the Payroll Supervisor in the Management of the Payroll Team:
Ensure the following activities in the payroll department are timeously and accurately carried out:
Loading new employees
Applying correct rates of pay
Linking provident funds and RFI
Ensuring correct company vehicles and petrol tax
Linking correct leave methods
Linking relevant employees to ESS
Using memo screen on payroll
Processing correct termination payments
Conducting monthly payment reconciliations to payroll
Conducting monthly payroll deduction reconciliations to actual payments
Loading bank payments
Loading salary costs on Salesforce for approval prior to payments
Optimal Utilisation of Payroll Related Systems:
Ensure the following systems activities are adhered to:
Linking employees to the clocking system
Optimal utilisation of the online system
Posting journals on ACUMATICA
Updating earning lines and methods of calculation
Successfully adding and setting up new companies on the payroll system
Successfully registering new companies for all legislative requirements
Signing off relevant payroll data from the payroll reporting facilities
Ensure the Following Information is Supplied to Relevant Parties:
Statistical reports to HR and Government (UIF etc.)
Weekly & monthly payroll expenditure, leave, absence (et al) statistics
Creating new and ad hoc reports when requested
Training and Development
:
Train payroll staff to ensure a competent payroll team and succession is available:
Provide a training manual for use on new employees
Keep manual updated to remain relevant
Ongoing training of new and developing team members
Performance management of payroll staff in conjunction with Payroll Supervisor
Discipline and take corrective action according to Company procedures
Ensure all leave forms are approved
Ensure ESS is used by management for leave records
Update time and attendance report daily to correspond with leave days taken
