Job Detail

Our Administrative Specialists provide high-level administrative support to U.S.-based clients, managing calendars, email, meetings, CRM systems, documentation, research, data entry, project coordination, expense tracking, and other day-to-day business operations.

For this opportunity, we are specifically seeking candidates with previous administrative experience supporting U.S.-based Real Estate agents, teams, brokerages, or Real Estate companies. The ideal candidate is familiar with transaction coordination, client communications, CRM management, scheduling, and administrative operations within a fast-paced Real Estate environment.

Our Administrative Specialists work full-time and exclusively for one client. We are looking for proactive, highly organized, detail-oriented professionals with excellent communication skills who can work independently and adapt to the unique needs of each client.

General Responsibilities

All Clients have unique needs, and we do our best to deliver the highest level of service to the best of our ability. This list is not all-inclusive and is general in nature, but it resembles what many of our Administrative Specialists are doing for our existing clientele.

  • Manage calendars, schedule appointments, and coordinate meetings.
  • Manage email and inboxes, responding promptly and professionally.
  • Assist in preparing, organizing, and filing documents.
  • Provide on-demand support for various business tasks.
  • Conduct research and gather information.
  • Track and manage business-related expense budgets.
  • Research and recommend new tools and systems to improve efficiency.
  • Assist with database and record management.
  • Support Real Estate agents, teams, or brokerages with daily administrative operations.
  • Manage transaction files and assist with transaction coordination from contract to close.
  • Maintain and update Real Estate CRM systems and client databases.
  • Coordinate appointments, property showings, inspections, and closing schedules.
  • Prepare, organize, and manage Real Estate documents while ensuring accuracy and compliance.
  • Communicate professionally with clients, lenders, title companies, inspectors, and vendors.

Requirements

  • Fluent in English, written and verbal (C1 level or higher), with excellent communication skills.
  • Minimum of 2 years of administrative experience, including at least 1 year supporting U.S.-based Real Estate agents, teams, brokerages, or Real Estate companies (required).
  • College Degree in General Administration, Psychology, Sociology, or related field.
  • Strong proficiency with Microsoft Office, Google Workspace and technologies in general.
  • Experience using Real Estate CRMs such as Follow Up Boss, kvCORE, BoomTown, Lofty, Sierra Interactive, or similar platforms.
  • Experience supporting Real Estate transactions, client communications, scheduling, documentation, and transaction coordination.
  • Familiarity with MLS platforms and Real Estate documentation is highly preferred.
  • Self-motivated, with the ability to work independently and solve problems proactively.
  • Strong organizational, multitasking, and time-management skills.
  • Adaptability.

Schedule

This position is FULL TIME, and 40 hours of work per week are expected Monday through Friday.
