As we continue to grow, we are looking for a highly organized and proactive Spare Parts Purchasing Administrator to join our dynamic team.
Role Overview
The Spare Parts Purchasing Administrator will be responsible for sourcing, ordering, and managing inventory of refrigeration spare parts and materials. The ideal candidate will liaise with suppliers, engineers, and internal departments to ensure timely and cost-effective procurement while maintaining high standards of accuracy and service continuity.
Key Responsibilities
Process purchase orders for spare parts and materials required for refrigeration servicing and repairs.
Source parts from approved suppliers and negotiate pricing and delivery terms when necessary.
Liaise with service engineers and coordinators to understand parts requirements and ensure prompt supply.
Track and expedite outstanding orders to minimize service delays.
Maintain accurate records of purchase orders, deliveries, and stock levels in the inventory management system.
Monitor stock usage and initiate replenishment of commonly used parts to ensure availability.
Resolve delivery discrepancies, invoice queries, and non-conformance issues with suppliers.
Support warranty claims and return processes for defective or incorrect items.
Develop and maintain strong relationships with key suppliers and vendors.
Assist in identifying cost-saving opportunities and improving procurement efficiency.
Required Skills and Experience
Proven experience in a purchasing or procurement administration role, ideally within the HVAC/R or engineering sectors but not required.
Familiarity with refrigeration systems, parts, or technical terminology is a strong advantage.
Excellent organizational skills and attention to detail.
Strong communication and interpersonal skills for dealing with suppliers and internal teams.
Competent in using procurement or inventory management software and MS Office (especially Excel).
Ability to work independently, prioritize tasks, and meet tight deadlines.
A proactive approach to problem-solving and continuous improvement.
Desirable Qualifications
Knowledge of Salesforce or similar ERP systems.
