We’re looking for a Remote Administrative Assistant who thrives in a fast-paced environment and brings structure, clarity, and momentum to every moving piece.

Your Mission

You are the bridge between teams, clients, and projects, making sure nothing slips, nothing stalls, and everything gets done.

What You’ll Do

  • Manage all client communication across active projects
  • Send daily updates, kickoff emails, scheduling notices, and follow-ups
  • Keep clients informed with clear, timely, and professional communication
  • Track project progress and maintain organized records
  • Support the operations team with day-to-day administrative tasks
  • Coordinate between team members, vendors, and clients
  • Handle inbound and outbound calls with confidence and professionalism
  • Follow up on open tasks and ensure nothing falls through the cracks
  • Organize documentation and maintain company records
  • Assist with system setup and file management
  • Anticipate needs and take action before problems arise

Who You Are

  • Fluent in verbal English with strong written communication skills
  • Highly organized and able to juggle multiple priorities
  • Tech-savvy (WhatsApp, ClickUp, video tools, and similar platforms)
  • Self-driven and take ownership without needing constant direction
  • Adaptable and calm under pressure
  • Comfortable being on video calls most of the day

Bonus Points If You Have

  • Experience in construction or trade-based industries
  • Background in project management or operations support
  • Basic bookkeeping knowledge (A/R, A/P, QuickBooks)
  • Familiarity with tools like ClickUp, Procore, or similar
