Our client is seeking an experienced Projects Co-ordinator to join their Mechanical Projects division.

The successful candidate will play a key role in coordinating mechanical projects from a planning, administration, logistics, financial and operational perspective. This position requires someone who is highly organised, commercially aware and comfortable working across multiple stakeholders to ensure projects are delivered safely, efficiently, accurately and within agreed timelines.

You will work closely with the Head of Mechanical Projects (HOD), project teams, employees, suppliers, subcontractors and internal Finance and operational teams.

Key Responsibilities

Project & Contract Coordination

  • Assist with the development of project plans, schedules and timelines.
  • Prepare, manage and maintain project job sheets and associated documentation.
  • Ensure all required documentation is accurately completed, signed and retained.
  • Establish and maintain project tracking sheets, including customer information and project correspondence.
  • Support the Mechanical Projects team with planning crews, equipment and resources.
  • Coordinate crew logistics, including travel, accommodation, site inductions and medical requirements.
  • Capture, track and monitor project costs, subcontractor costs and associated financial risks.
  • Identify discrepancies or potential cost risks and escalate these to the HOD.
  • Prepare monthly project reports and maintain accurate project tracking.
  • Complete project analysis when required.
  • Assist with obtaining quotations, materials and equipment required for project execution.

Financial & Cost Management

  • Liaise with the Finance team to ensure accurate allocation of project costs.
  • Cross-check financial controls and product/project analysis.
  • Place supplier orders, with HOD approval required for orders exceeding R5,000.
  • Authorise supplier invoices and ensure invoices are uploaded correctly onto Odoo and the relevant shared folders.
  • Collate wage cards and verify employee hours for HOD approval.
  • Maintain annual leave, sick leave and AWOL registers.
  • Prepare and manage project-based or fixed-term employee contracts and ensure all relevant documentation is completed and filed.
  • Reconcile petty cash, deposits, site floats and company credit card slips.
  • Summarise monthly income versus expenses and identify potential anomalies.
  • Maintain income forecasts and quotation tracking for the division.

Asset & Equipment Management

  • Manage the issuing, usage, return and condition of project equipment.
  • Record equipment damage and usage accurately.
  • Track property-related running and maintenance costs.
  • Monitor company vehicle usage and identify potential excessive private use or associated risks.
  • Maintain accurate asset and equipment records.

Training & Compliance

  • Coordinate employee training required to meet site and health and safety requirements.
  • Arrange relevant training for employees working across environments such as:
  • Marine
  • Mining
  • Mills
  • Industrial plants
  • Other specialised project environments
  • Ensure employees receive training aligned with their experience, grading and operational requirements.
  • Provide guidance and training to project and contract employees on project tracking, budgets and financial processes when required.
  • Ensure all project activities comply with company policies, procedures and applicable health and safety requirements.

Departmental Coordination

  • Coordinate general project-related orders, including:
  • Overalls and PPE
  • Rigging gear repairs
  • Consumables
  • Stores and project stock
  • Support the HOD with daily project scheduling and operational requirements.
  • Act as a key coordination point between project teams, suppliers, Finance, employees and management.
  • Build strong working relationships across all levels of the organisation.

Minimum Requirements

Education

  • Matric / Grade 12 required.
  • Formal training or strong working knowledge of:
  • Microsoft Excel
  • VIP
  • Microsoft Projects

Experience

  • Minimum 5 years’ experience in Project Coordination.
  • Experience within a mechanical, engineering, industrial, manufacturing, construction or project-based environment would be highly advantageous.
  • Proven experience with project cost control and financial tracking.
  • Experience coordinating employees, subcontractors, suppliers and project resources.
  • Experience with project administration, reporting and documentation.
  • Experience working with budgets, quotations, purchase orders and supplier invoices.
