The Opportunity

Tsukuru is looking for a highly organised, ambitious and fast-moving Project Coordinator to help coordinate multiple projects and stakeholders, helping ensure that plans translate into action, deadlines are met, communication remains clear and important details do not fall through the cracks.

This role is suited to someone who has built a few years of professional experience and is ready for greater responsibility, exposure and opportunity to grow. We are looking for someone with strong fundamentals, high ownership and the potential to learn quickly and navigate the projects with little supervision.

The environment is fast-paced and there will often be several moving parts at the same time. Not every problem will arrive with a predefined process or obvious answer. You will therefore need to be comfortable asking questions, figuring things out, creating structure where needed and adapting quickly as priorities change.

You do not need to know everything on day one. What matters is that you learn quickly, communicate well, stay organised and take responsibility for getting things done. For someone with the right attitude and capability, this role provides significant opportunity to learn, take on increasingly complex projects and grow with Tsukuru.

Duties & Responsibilities

  • Coordinate multiple project implementations simultaneously.
  • Maintain project plans, timelines, action lists, trackers and project documentation.
  • Keep projects moving by proactively following up on actions, deadlines, dependencies and outstanding decisions.
  • Coordinate activities between customers, internal teams, software partners, suppliers and other internal and external stakeholders.
  • Schedule and coordinate project meetings and ensure the right stakeholders are involved.
  • Prepare meeting agendas, capture decisions and actions, and follow through to ensure agreed actions are completed.
  • Provide clear and regular project updates to relevant stakeholders.
  • Track project risks, issues and dependencies and escalate concerns when appropriate.
  • Assist with customer onboarding, implementation, go-live and post-implementation activities.
  • Learn Tsukuru’s platforms and technology solutions sufficiently to coordinate projects effectively and communicate confidently with customers and partners.
  • Maintain accurate and up-to-date project information and documentation.
  • Help develop and improve project processes, templates, checklists and ways of working.
  • Identify areas where greater structure or better processes could improve execution.
  • Take ownership of problems and help drive them towards resolution.
  • Support management with projects and operational priorities as the needs of the business evolve.
  • Maintain a high standard of accuracy, organisation and follow-through across all responsibilities.

What We’re Looking For

The successful person is likely to be someone who:

  • Is exceptionally organised and naturally keeps track of details, deadlines and commitments.
  • Communicates clearly, confidently and professionally.
  • Builds good working relationships with different types of people.
  • Is comfortable following up with stakeholders and holding people to agreed actions.
  • Has a strong sense of ownership and does not need to be repeatedly reminded to get things done.
  • Learns quickly and is genuinely curious about technology and business.
  • Works at pace and responds quickly without sacrificing quality.
  • Can manage several priorities at the same time.
  • Remains effective when priorities change or information is incomplete.
  • Can bring structure to situations involving multiple stakeholders and moving parts.
  • Is resourceful and willing to figure things out rather than waiting for detailed instructions.
  • Knows when to solve something independently and when to ask for help or escalate.
  • Has high standards and pays attention to detail.
  • Takes feedback well and applies what they learn.
  • Is motivated by growth and wants to earn greater responsibility over time.

Mandatory Qualifications & Experience

  • A minimum of 2–5 years of professional work experience, ideally in a business environment.
  • A relevant tertiary qualification in Business, Commerce, Engineering, Operations, Project Management or a related field.
  • Some demonstrated experience coordinating projects, customers, stakeholders, operations or multiple workstreams.
  • Very strong written and verbal English communication skills.
  • Strong working knowledge of Microsoft Excel, PowerPoint, Word, Outlook and Teams.
  • Demonstrated ability to organise and prioritise a busy workload and meet deadlines.
  • Comfortable learning and working with new technology and software platforms.
  • Pure Mathematics at school level (not Mathematical Literacy).

Preferred Qualifications & Experience

The following would be advantageous but are not essential:

  • Experience in a technology, software, consulting, operations or project-based environment.
  • Exposure to software implementation, SaaS products or technology projects.
  • Experience working directly with customers or external stakeholders.
  • Experience coordinating suppliers, vendors or third-party partners.
  • Familiarity with project management tools or methodologies.
  • Exposure to process improvement, business analysis or operational improvement.
  • Project management, Agile, Scrum or similar training or certification.

Skills and Competencies

  • Organisation & Prioritisation. Exceptional organisational skills with the ability to keep track of multiple projects, tasks, deadlines and stakeholders without losing important details.
  • Communication. Clear and professional written and verbal communication, with the confidence to communicate with customers, colleagues, suppliers and senior stakeholders.
  • Stakeholder Management. Able to build productive relationships, coordinate different parties and follow up confidently even without formal authority.
  • Ownership & Accountability. Takes responsibility for commitments and outcomes. Sees tasks through to completion and proactively addresses problems rather than waiting for someone else to take responsibility.
  • Learning Ability. Learns new concepts, systems and technology quickly. Asks good questions, seeks feedback and applies new knowledge.
  • Growth Potential. Demonstrates curiosity, ambition and the ability to take on progressively greater responsibility as experience and capability develop.
  • Speed & Execution. Works with urgency and maintains momentum. Able to move quickly between thinking, communicating and taking action.
  • Comfort with Ambiguity. Can make progress when all the information is not yet available. Able to identify what needs clarification, create structure and adapt as circumstances change.
  • Multitasking. Comfortable managing several projects and priorities simultaneously and switching between different tasks without losing follow-through.
  • Problem Solving. Resourceful and practical. When faced with a problem, seeks to understand it, identify the next steps and help drive it towards resolution.
