Job Description

TIPS Project Coordinators are assigned to various masterplan projects, where they support the project manager and project team.

Roles and Responsibilities

Assist with managing project-related contractual agreements with donors, sub-contractors and service providers.

Provide project coordination on the masterplans projects that TIPS is supporting.

Set-up and coordinate project-related team meetings and stakeholder-specific engagements as per project requirements.

Compile, maintain and review/update contracts monitoring sheet on a monthly basis

Update the stakeholder register throughout the project life cycle.

Work closely with the Project Accountant to reconcile projects budgets

Ensuring project-related procurement processes are fair, transparent and in line with the TIPS policies and procedures.

Compile reports for the various masterplans.

Work closely with project managers to manage daily activities of masterplans.

Organise stakeholder meeting and take minutes of the meetings.

Update the project schedules to reflect progress on projects.

Update the risk and issues logs for project.

Organise all project-related travel arrangements and assist project manager and project team with project-related travel claims.

Develop, organise and maintain an electronic filing system of project-related documents.

Work with the Finance Manager and the Project Accountant to manage donor/funder project-related audits.

Share lessons learnt and best practices with colleagues, and build relationships with project stakeholders (particularly donor financial and monitoring teams; and sub-contractors).

Qualifications And Requirements

A Bachelor’s degree in a relevant field with at least 3 years of relevant working experience.

Ability to support multiple projects concurrently.

Strong project management skills.

Accuracy and attention to detail, be highly organised, and manage deadlines;

Ability to work in a multicultural and multidisciplinary setting, and able to work both in a team and independently;

Capacity to work under pressure and to adhere to strict deadlines with limited supervision;

Willingness to learn and be flexible;

Demonstrate an energetic and enthusiastic personality with strong relationship management skills;

Strong communication skills (written and verbal);

Able to make decisions or escalate issues where required;

Reliable and trustworthy;

Good time management and multi- tasking abilities/ ability to prioritize;

Strong working knowledge of Microsoft Office (Word, PowerPoint, Excel and MS Projects);

Basic project management and financial management skills.
