Key Output
This is an administrative role reporting into the project manager.
The role involves coordination and administration of business processes and projects.
The job requires launching of project teams and applying the project management methodology to drive:
Set up project team meetings.
Formalise agenda with project manager/sponsor.
Take minutes, review with project manager/sponsor and circulate to team.
Collate and manage document control.
Update project plan with established work breakdown structures, work packages, tasks, activities as required by the project.
Consolidate and communicate project timelines and budgets.
Ensure stakeholder communication as required by the project.
Collate, compile and communicate Risk / Issue registers to appointed audience as prescribed by the project manager.
Coordinate, compile and consolidate KPI and dashboard reporting from project team.
Communicate early warning systems to project manager to flag deviation from budget, timelines, resources and change elements.
Maintain project logs (risk registers, issue registers, resource registers and deliverable registers).
Identify potential solutions with team/stakeholder involvement.
Collate, compile and document lessons learned.
Qualification, Experience and Competencies
Bachelor’s Degree (Engineering / Science / Commerce).
Certified Associate in Project Management (CAPM).
2 – 3 years working on projects.
Experience in planning project meetings.
Experience in facilitating project team meetings.
Experience in updating progress on execution.
Ensuring all stakeholders are updated on progress through project communications.
Experience in updating risk / issue registers.
Monitoring process for escalation and giving feedback to project manager.
Collate and consolidate project documents during and on project closure.
