Role Purpose

The Programme Management Assistant supports the delivery of the EU CSO programme by ensuring strong coordination, implementation tracking, documentation, and operational follow-through across all programme activities.

This is a programme coordination role, supporting a complex donor-funded project — not a general administrative or personal support role.

 

Programme Context

The EU CSO programme strengthens civil society organisations in:

  • green agri-food systems
  • social entrepreneurship
  • inclusive local economic development

Key components include:

  • assessments & ecosystem mapping
  • CSO recruitment & onboarding
  • training & capacity-building
  • incubation & subgrant support
  • reporting & learning

Key Responsibilities

1. Programme Coordination & Tracking

  • Maintain workplans, trackers, calendars, and action logs
  • Track deliverables and flag risks or delays
  • Coordinate meetings and ensure documentation and follow-through
  • Manage structured filing and documentation systems

2. M&E & Assessment Support

  • Coordinate fieldwork, assessments, and data collection
  • Maintain participant databases and trackers
  • Support data quality checks and reporting inputs
  • Maintain audit-ready evidence folders

3. Stakeholder Coordination

  • Maintain partner and stakeholder databases
  • Coordinate communication, meetings, and follow-ups
  • Track stakeholder deliverables and engagement
  • Flag coordination risks

4. CSO Recruitment & Onboarding

  • Support calls for applications and application tracking
  • Conduct completeness checks and support evaluation processes
  • Maintain selection records and audit trails
  • Coordinate onboarding logistics and documentation

5. Training & Capacity-Building

  • Coordinate participant registration and attendance
  • Support training logistics and materials preparation
  • Track participation and maintain training records
  • Collate feedback and learning inputs

6. Incubation & Subgrant Support

  • Maintain incubation schedules and trackers
  • Coordinate coaching sessions and follow-ups
  • Track deliverables and compliance requirements
  • Support subgrant documentation and due diligence

 

7. Events & Logistics

  • Support planning and coordination of events and workshops
  • Coordinate logistics in line with Oribi processes
  • Maintain registers, documentation, and evidence
  • Support on-site coordination

 

8. Reporting & Compliance

  • Maintain complete documentation for all activities
  • Organise evidence for donor reporting
  • Track outputs and milestones
  • Support reporting preparation and audit readiness

9. Communication

  • Coordinate routine stakeholder communication
  • Maintain contact lists and communication logs
  • Track responses and follow-ups
  • Escalate issues where needed

Reporting Line

Reports into the EU CSO programme, supporting the Programme Manager, with close coordination with Operations and Finance.

 

Requirements

Minimum:

  • Diploma/degree in relevant field
  • 2–3 years’ programme/project coordination experience
  • Strong organisational and documentation skills
  • Strong written communication
  • Proficiency in MS Office / Google Workspace

Advantageous:

  • Donor-funded programme experience (EU preferred)
  • M&E exposure
  • Familiarity with tools (Airtable, SharePoint, Asana, etc.)

Role Details

  • Contract: 1-year fixed-term
  • Salary: ZAR 15,000 – 18,000 (gross)
  • Location: Cape Town (Workshop17, Tabakhuis, Paarl)
  • Occasional travel required
