Position Summary
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to a senior executive or manager. The ideal candidate will demonstrate exceptional attention to detail, excellent communication skills, and the ability to manage multiple tasks with discretion and professionalism. This role is key in enabling the executive to focus on strategic priorities while ensuring smooth day-to-day operations.
Job Highlights
Hourly Rate: USD 9.66, the equivalent in your local currency
Paid Hours per Week: 40
Schedule: Monday to Friday, 9:00 am to 6:00 pm Sydney Time with an hour unpaid break
Work Arrangement: Work from home
Contract: Independent Contractor
Side note: Since this is a permanent work-from-home position and an “Independent Contractor” arrangement, the candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
Key Responsibilities
Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Handle incoming emails, phone calls, and other communications; prioritize and respond as appropriate.
Prepare reports, memos, letters, presentations, and other documents as required.
Coordinate internal and external meetings, including logistics, agendas, minutes, and follow-ups.
Organize and maintain files, documents, and records (physical and digital).
Handle confidential information with discretion and professionalism.
Assist with personal tasks and errands when required (e.g., booking reservations, personal appointments).
Liaise with internal departments and external stakeholders on behalf of the executive.
Track tasks, deadlines, and project milestones to ensure timely completion.
Support with expense reporting and budget tracking as needed.
Qualifications
Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
Excellent written and verbal communication skills.
Strong organizational and time management skills.
High level of discretion and confidentiality.
Tech-savvy; proficient in Microsoft Office Suite, Google Workspace, calendar tools, and project management tools.
Ability to multitask and prioritize effectively in a fast-paced environment.
Proactive, resourceful, and detail-oriented.
A positive attitude and willingness to adapt and learn.
Dental experience is required for this role.
Preferred Qualifications
Experience supporting C-level executives or entrepreneurs.
Familiarity with tools like Asana, Trello, Slack, Zoom, or similar platforms.
Prior experience working in a remote or hybrid work setup.
