We are seeking a highly organised and proactive Personal Assistant (PA) to support our lead attorney in managing both professional and personal tasks. Job Summary:
The Personal Assistant to the Director will provide comprehensive administrative support to the attorney, assisting with both professional legal duties and personal tasks. The ideal candidate will be detail-oriented, resourceful, and able to maintain discretion and confidentiality at all times. You will play an integral role in ensuring the attorney’s daily schedule runs smoothly, managing communications, and handling a variety of administrative duties.
Key Responsibilities:
Act as the primary point of contact between the attorney and clients, colleagues, and external stakeholders.
Screen and prioritize phone calls, emails, and other correspondence.
Draft and proofread correspondence, reports, and other documents.
Assist in the preparation and organisation of legal documents, including filings, contracts, and correspondence.
Maintain an organised filing system for both physical and electronic documents.
Provide personal support for the attorney, managing personal appointments, errands, and other day-to-day activities as needed.
Liaise with clients, potential clients, and external service providers.
Ensure the attorney’s office is well-organized and stocked with necessary supplies.
Manage office logistics, including equipment and technology maintenance.
Provide support to the team and assist where necessary.
Qualifications:
Minimum of 2 years
experience as a Personal Assistant, Executive Assistant, or similar role, preferably in a legal environment.
Strong organisational and time-management skills.
Excellent communication skills, both written and verbal.
Ability to handle sensitive and confidential information with discretion.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal software (PracticePanther) is a plus.
Ability to work independently and as part of a team.
Detail-oriented, resourceful, and proactive in anticipating the needs of the attorney.
Ability to multitask and adapt to changing priorities in a fast-paced environment.
