Job Summary
The individual is expected to work with a senior manager/s or director to provide secretarial and administrative support. They act as the first point of contact for the manager/s during their absence. The individual will need to maintain a high degree of confidentiality at all times and interact with stakeholders at various levels to deliver work outputs.
Job Description
Manage the diary of the manager efficiently using Outlook, scheduling meetings requested by the line manager or others where their presence is needed.
Track and monitor meeting acceptances and declines, resolving issues independently or escalating concerns to the manager.
Liaise with relevant parties to reschedule meetings as needed.
Print relevant documentation and prepare daily meeting packs for the manager’s reference.
Coordinate travel bookings through the in-house travel agency, ensuring adherence to the travel approval process.
Attend team meetings to take minutes, ensure they are typed, approved, and distributed within the agreed timeframe.
Create socialisation rotation schedules for the manager’s direct reports and include them in orientation sessions.
Arrange venues and catering for team events, obtaining manager’s approval prior to placing orders.
Secure dial-in details for teleconferences and communicate to attendees in advance.
Assist with email management by screening and redirecting emails, following up as necessary.
Create an online filing system for work prioritisation and document management.
Answer, screen, and redirect telephone calls professionally.
Assist visitors and handle incoming packages or documentation.
Prepare Word, Excel, and PowerPoint documents as needed.
Maintain a secure filing and retrieval system for printed documents.
Manage general office administration, including ordering supplies and restocking.
Enforce company policies on procedures such as travel, expenses, and signature controls.
Retrieve company property from departing staff and coordinate with relevant parties.
Assist with photocopying, scanning, and document binding.
Request quotes, generate purchase orders, and follow up with vendors.
Verify invoices, obtain approvals, and submit for payment, following up on outstanding payments.
Review departmental cost centre entries monthly, investigate discrepancies, and reconcile expenses.
Ensure expenses are within budget and within mandate.

Education and Experience
NQF Level 4
Grade 12 (Essential);
Personal Assistant/Secretarial Diploma (Preferred)
1-2 years in an administrative role, preferably with secretarial duties
Additional Skills
Typing speed of 40-60 wpm
Experience with office equipment (printers, photocopiers)
Focus on accuracy and detail
Proficiency in MS Office Suite, Internet, and Email
Interpersonal skills and confidence
Ability to work under pressure and independently
Proactive initiative

Further Education and Training Certificate (FETC):
