Our Client is seeking a dedicated and skilled Operations Specialist to join their dynamic team in Madison, WI. The ideal candidate will play a crucial role in ensuring the smooth operation of their facilities by performing a variety of tasks related to maintenance, fabrication, and overall operational support. This position requires a proactive individual who can effectively manage multiple responsibilities while maintaining high standards of quality and safety. Provides clerical and administrative support to departmental Managers, and assists in coordinating all aspects of daily operations, including recording and reporting data.

Shift: 8:30 a.m. to 12:30 p.m.(M-F)

Essential Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.

  • Assists in troubleshooting and resolving safety, service, and operational issues.
  • Creates, distributes, and closes-out customer tickets on a daily basis.
  • Maintains and distributes department related information on a daily basis.
  • Communicates with other supervisors and managers about operations and/or dispatch issues.
  • Completes and maintains a variety of reports as directed by the department manager.
  • Uses software tools to manage a variety of tasks, such as procurement, time and attendance, safety incidents, and contract labor.
  • Assists with data collection and reporting required for incentive pay programs.
  • Assists with the processing of payments and other financial tasks as necessary.
  • Assists in the implementation of operational projects as needed.
  • Communicates with customers about service issues as needed.
  • Communicates with employees about scheduling and work assignments as needed.
  • May enter and maintain Service Machine SMART data on a daily basis.
  • Performs other duties as assigned.
  • Supervisory Responsibilities This job has no supervisory duties.
  • Admin duties to support Naples Landfill/ Naples Recycling TS/ Immokalee TS
  • Daily data entry tonnage information from County reports into excel spread sheets. Data import into WM PMT system.
  • Order supplies and manage inventory, processing Purchase order in the WM Coupa system.
  • Work boot list (Tracking employees Work Boot purchases for the year)
  • Data entry of Fuel log (Record fuel drops as they come in) update WEX PDI of deliveries.
  • Data entry Asbestos log. (Asbestos loads need to be recorded)
  • Tracking Special Waste- (Battery/ Tires/ Light Bulbs )
  • Daily cover log. (Cover material to be entered daily onto log)
  • Gate Badges. (Assisting with paperwork to obtain Gate Badges)
  • Data entry Fuel and meter reading in the WM Compass system.
  • Work orders in the Compass system.
  • Parts order using Coupa & Compass system.
  • Varies monthly tracking reports due at month end.
  • Other duties assigned.

Qualifications:

The requirements listed below are representative of the qualifications necessary to perform the job.

  • Education and Experience Required: High school diploma or G.E.D, and 0-3 years previous experience. Preferred: High school diploma or G.E.D, plus additional or specialized training, and zero to four years previous experience.
  • Certificates, Licenses, Registrations or Other Requirements None required.

  • Proven organizational skills, including time management.
  • Project management experience

  • Self-sufficiency and an ability to work with minimal supervision.
