Role Overview

Job Duck is hiring an Outreach and Intake Coordinator (OIC) on behalf of one of our clients. This role is ideal for an outgoing, relationship-focused professional who enjoys connecting with people, building community awareness, and creating opportunities through meaningful conversations. The Outreach/Intake Coordinator serves as a key driver of business growth by generating leads, nurturing prospects, coordinating outreach initiatives, and converting prospective clients into scheduled Life & Legacy Planning Sessions. The successful candidate is highly organized, persistent, and confident in following up consistently while delivering an exceptional experience to every prospect. Schedule:

Monday to Friday from 9:00 AM to 6:00 PM EST (USA)

Your Responsibilities Will Include but Are Not Limited To:

  • Conducting outbound calls and nurturing prospects through the intake process
  • Following up with all leads promptly, persistently, and systematically
  • Supporting advertising initiatives designed to increase brand awareness and generate qualified leads
  • Managing direct email and direct mail campaigns to prospects, referral sources, and community contacts
  • Monitoring progress against outreach, conversion, database management, and communication KPIs
  • Tracking lead activity, database growth, and outreach effectiveness
  • Monitoring and executing all follow-up and nurture campaigns according to established timelines
  • Identifying opportunities for community involvement, sponsorships, auctions, and outreach events
  • Coordinating and managing speaking engagements, educational presentations, and webinars
  • Establishing and maintaining relationships with referral partners, community organizations, and local contacts
  • Building visibility and awareness of the firm's mission and services throughout the community
  • Preparing weekly outreach activity reports
  • Coordinating monthly membership newsletter distribution
  • Conducting appointment reminder calls before scheduled meetings
  • Ensuring prospects receive secure client portal access and pre-meeting materials
  • Maintaining accurate and up-to-date prospect and lead records within the CRM
  • Securing appointments and obtaining required payment information when applicable
  • Scheduling 15-minute consultations and Life & Legacy Planning Sessions (LLPS)

What We’re Looking For:

  • At least two to three years of experience in sales, business development, community outreach, intake coordination, client relations, or lead generation.
  • Experience with appointment setting, lead nurturing, and customer relationship management preferred
  • Previous exposure to estate planning, family wealth planning, legal services, or professional services environments is preferred
  • Strong verbal and written communication skills in English required
  • Comfortable networking, attending community events, expos, webinars, and public-facing engagements
  • Ability to work occasional evenings and weekends as needed for outreach events and webinars
  • Demonstrated ability to manage multiple priorities, deadlines, and follow-up activities simultaneously
  • Strong organizational, prioritization, and reporting skills
  • Ability to build relationships and confidently engage with prospects, referral partners, and community contacts
  • Proficiency with: Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Canva, Claude, Go High Level, Adobe, CRM, and database management systems
  • Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
  • Quiet, distraction-free remote work environment
