Position Overview
the company is seeking a detail-oriented Order Processing and Procurement Administrator to support its day-to-day back-office operations. The successful candidate will be responsible for accurately placing supplier orders, updating tracking information, uploading invoices and order confirmations, and maintaining accurate information across the company’s internal platform and shared email inbox.
This is an entry-level position suited to someone who is organised, comfortable working with online platforms, and able to process orders involving multiple products and quantities with a high level of accuracy. the company will provide training on its systems, suppliers, and internal processes.
Key Responsibilities
- Place orders accurately through supplier websites and online ordering platforms.
- Enter the correct products, quantities, delivery details, and other required order information.
- Upload and maintain supplier order confirmations within the company’s internal platform.
- Update tracking numbers and delivery information as these become available.
- Upload invoices and other supporting documentation to the appropriate records.
- Monitor a shared email inbox and process administrative requests.
- Review orders and documents for missing or incorrect information.
- Manage orders containing multiple products and potentially complex product combinations.
- Follow established standard operating procedures and ensure tasks are completed on time.
- Escalate order discrepancies, missing documentation, delayed deliveries, or other issues to the appropriate the company team member.
- Maintain accurate and organised electronic records.
- Support additional procurement and administrative tasks as the business grows.
Qualifications and Experience
- Previous experience in order processing, data entry, e-commerce administration, procurement support, logistics administration, or a similar back-office role is an advantage.
- Entry-level candidates with strong attention to detail and good computer skills may be considered.
- Experience using online shops, supplier portals, or web-based ordering platforms is preferred.
- Comfortable working with email inboxes, online systems, spreadsheets, and digital documents.
- Experience supporting UK, Australian, US, or other international businesses is an advantage but not essential.
