About the Role

We're looking for an Operations Coordinator to join our operations team as Winback scales from 10 people to 60+.

You'll work alongside our Operations Manager to keep everything running smoothly. Payroll goes out on time. New hires have everything they need on day one. Contracts get signed. Client accounts get set up. Nothing falls through the cracks.

This role touches every part of the company—finance, HR, recruiting, client services—which means you'll learn how a high-growth agency actually operates. You'll have real ownership over critical workflows and visibility into how the pieces fit together.

We're an AI-native company, which means you'll be expected to use AI tools daily and help us figure out how to make operations faster and smarter. If you're excited about building that muscle, this is a great place to do it.

What You'll Do

Finance & Payroll

  • Process payroll for employees and contractors across multiple platforms (Rippling, Warp, Wise, Mercury).
  • Manage and keep record of Employee Payroll adjustments and bonuses.
  • Send AR reminder emails and follow up on overdue invoices.
  • Process contractor and referral payments as they come due.
  • Manage subscriptions and flag renewal decisions to leadership.

People Operations

  • Own employee onboarding end-to-end: welcome emails, access provisioning (Slack, ClickUp, Google Workspace), onboarding materials, and first-week coordination.
  • Maintain vacation tracking and respond to time-off requests.
  • Keep employee records organized and up to date.
  • Coordinate team meetings, book clubs, and culture initiatives.

Recruiting Coordination

  • Manage candidate pipeline: intake applications, distribute assessments, track progress.
  • Schedule interviews and coordinate across calendars.
  • Prepare and send offer letters and contracts via DocuSign.
  • Follow up on signatures and move candidates through the hiring process.

Client Services Support

  • Set up new clients: Slack channels, Google Drive folders, ClickUp projects, access tracking.
  • Route NDAs and contracts through DocuSign and track completion.
  • Maintain organized client records and documentation.

General Operations

  • Troubleshoot tool integrations and escalate technical issues as needed.
  • Update the company website (Framer) for job postings and case studies.
  • Be the person who makes sure nothing slips through the cracks.

Who You Are

  • 4+ years of experience in operations, office management, or executive support roles. Agency or professional services experience is a plus.
  • Highly organized and detail-oriented. You catch what others miss. You don't let things slip.
  • Comfortable juggling multiple tools. Experience with ClickUp, Slack, Google Workspace, and payroll platforms. You learn new systems quickly.
  • Strong communicator. You write clearly, flag issues proactively, and keep people informed without being asked.
  • Reliable and consistent. You show up, follow through, and take ownership of your work.
  • AI-curious. You're already using ChatGPT or Claude to work faster, or you're eager to learn. We're an AI-native company—this matters.
  • Available during Eastern Time hours. We're a distributed team, but we collaborate in real-time during ET working hours.
