Operations & Procurement Coordinator

Salary: R18,000 – R28,000 depending on experience

About the role:

Bar Keeper is a growing business operating across retail, e-commerce, and distribution within the liquor industry.

We are looking for a highly organised, detail-focused Operations & Procurement Coordinator to support a wide range of operational and administrative functions across the business.

This is a hands-on role suited to someone who enjoys accuracy, problem-solving, operational follow-through, and keeping things running smoothly behind the scenes. The role is varied and will involve working across different areas of the business where needed.

The successful candidate will work closely alongside the owner in a fast-paced, non-corporate business environment, with strong opportunity for growth over time.

Key Responsibilities:

Procurement & Purchase Orders

  • Create and manage Purchase Orders (POs)
  • Ensure correct quantities, pricing, and agreed deal pricing are applied
  • Maintain clean ordering cycles and supplier schedules to prevent stock disruptions

Supplier Management & Follow-Through

  • Communicate professionally with suppliers and supplier accounts departments
  • Follow up on pricing, deals, lead times, ETAs, claims, credits, and supplier queries
  • Maintain supplier trackers and ensure supplier commitments are followed through

Cost Price & Invoice Accuracy

  • Verify that deals, discounts, and free stock pull through correctly
  • Check supplier invoices against POs and agreed terms
  • Identify discrepancies and follow up with suppliers until resolved
  • Ensure pricing, percentages, and cost calculations are loaded accurately

GRVs, Stock & Operational Controls

  • Ensure invoices are GRV’d and processed accurately and timeously
  • Assist with stocktakes and investigate stock variances
  • Identify whether discrepancies are linked to GRVs, invoicing errors, stock capturing, or operational issues
  • Maintain Out-of-Stock tracking and assist with ETA follow-ups

Operational & Administrative Support

  • Assist with reconciliations and basic debtors/creditors administration
  • Manage supplier applications and related administrative processes
  • Ensure emails, supplier communication, and follow-ups are handled accurately and timeously
  • Load and update pricing on internal systems
  • Assist with promotional setup and coordination
  • Coordinate print and promotional material where required
  • Support day-to-day operational and administrative tasks across the business

Requirements

  • Strong attention to detail and high level of accuracy (non-negotiable)
  • Excellent organisational and follow-through skills
  • Comfortable working with numbers, percentages, pricing, and reconciliations
  • Strong administrative capability
  • Ability to identify discrepancies and problem-solve effectively
  • Good communication skills
  • Able to work in a fast-paced retail environment
  • Team player with a hands-on attitude
  • Reliable, punctual, and professional
  • Confident using Excel / Google Sheets and computer systems

Advantageous

  • Experience in retail, hospitality, restaurant trade, inventory, purchasing, operations administration, creditors, or stock control
  • Experience with POS or stock management systems
  • Experience with supplier invoices, credits, claims, GRVs, or receiving controls
  • Admin experience
