The NGV Operations Manager oversees the daily operations of the filling station, ensuring smooth service, efficient management of employees and resources, and adherence to safety and operational standards. This role involves managing employees, inventory, and finances, as well as maintaining customer satisfaction and ensuring compliance with regulations.
Main Responsibilities
Operations
- Manage the operational aspect of Langlaagte Filling Station and contracted filling stations.
- Overseeing the daily operations of the filling station.
- Implementing and improving operational procedures.
- Responsible for customers at all filling stations.
- Develop relationship with blue chip fleet customers as well as the taxi industry fillers.
- Report on customer fillers at various designated filling stations.
- Drive the Back to Pump program (process).
- Manage designated workshops in terms of the taxi service program.
- Analise trends/issues/problems that may occur with blue chip fleet customer, in terms of filling/gas sales and provide solutions.
- Monitoring sales performance and implementing strategies to increase revenue.
- Set up and manage an advanced and automated real time/online POS system.
- Timeously address any NGV Gas related challenges at the satellite filling station Report on all issues/incidents to GM: Sales.
Forecourt
- Develop and promote a positive customer interaction and provide great customer service.
- Ensure timeous turnaround times during the filling process (time vehicle arrives to the time the vehicle leaves).
- When necessary, forecourt attendants must provide information and promotional material to vehicle operators.
- Co-ordinate and provide specific reports to sales representatives on a weekly and monthly basis:
- Number of vehicles filling per day/ month vs. budgets
- The number of vehicles not filling up to a minimum of 550 l/eq.
- Providing sales leads
- Providing incidents reports
- Create and maintain a database with all customers’ details
- Manage credit and up-front deposit paying customers.
- Balance gas sold to cash received equal zero variance.
- Change pump prices when required.
- Every quarter, check gas density vs. l/eq. displayed price
- Notify customers on prices changes together with sales
- Ensure all promotional signage including competitions and PR information is timeously always set up and on display at all CNG filling stations.
G-shop financial and inventory management
- Managing gas and merchandise inventory levels.
- Overseeing gas deliveries and ensuring accurate stock records.
- Ordering supplies and merchandise as needed.
- Monitoring sales and expenses to ensure profitability.
- Balance daily takings to gas dispensed and G-shop sales equalling nil.
- Assisting with budgeting and financial reporting, monitoring sales and financial transactions, ensuring proper cash handling procedures, and managing and controlling costs.
- Management and co-ordination of all orders from placing of the orders to ensure that the delivery is made timeously, and correct items are received.
- Co-ordinate and provide specific reports to management on a weekly and monthly basis.
- Manage the Income Statement to budget
- Margins to achieve an average of 25% gross profit in G-shop
- Develop external sales (e.g., pre-packed food)
- Providing incidents reports
- Manage shrinkage and write-offs to below 1% in G-shop
- Provide sales and stock reports
- Balance stock, shrinkage, write-off/wastage to cash equals to zero variance
- Improve profitability of the G-Shop with additional, viable income streams
- Arrange regular promotions on products.
- Working with vendors and suppliers to negotiate favourable terms.
Employee management
- Recruiting, training, and supervising employees.
- Creating work schedules and assigning tasks.
- Providing performance feedback and coaching.
- Fostering a positive and productive work environment.
Customer service
- Ensuring high levels of customer satisfaction, handling customer inquiries and complaints professionally, and resolving issues promptly and effectively.
- Ensure the cleanliness of the shop is maintained at all times
- Maintain adequate stock levels of the G-shop at all times
Compliance and safety
- Ensuring adherence to safety and environmental regulations.
- Maintaining a clean and safe environment for customers and employees.
- Monitoring safety protocols and procedures.
- Implement policies, procedures, and training manuals for all aspects in the forecourt and G-shop Have all OH&S files on site and update when required.
- Must be the Health and Safety Officer on site.
- Ensure training requirements are met for all Filling Station employees on Health and Safety, HAZCHEM, and any other regulatory requirements.
- Implement and manage that all Health & Safety, HAZCHEM, and any other regulatory requirements are in place on site.
- All assets (equipment, buildings, roads, etc.) need to be maintained and continuously upgraded on site.

Qualifications and Experience
- Diploma in Operations Management
- Minimum 3 – 4 years’ experience in retail management.
- Minimum 2 – 3 years’ experience in Filling Station management.
- Computer literate on Excel, Word, and Microsoft Outlook
- Must have valid driver’s license.
