We're looking for a sharp, execution-focused coordinator to support our CEO and COO. This is
not a traditional admin role — we need someone who drives accountability and gets things
done.
Key Responsibilities:
Executive Support & Operations
● Support CEO and COO with daily operational coordination and follow-up
● Track company priorities, deadlines, and ongoing projects
● Help reduce operational bottlenecks and improve internal communication
● Organize and prioritize tasks across multiple departments
KPI & Accountability Tracking
● Monitor department KPIs and recurring deadlines
● Follow up with team members regarding overdue items and deliverables
● Maintain accountability dashboards and status reports
● Escalate delays or unresolved issues to leadership when necessary
Accounting & Operations Coordination
● Track monthly accounting close process and reconciliation deadlines
● Coordinate with accounting, property management, and operations teams
● Help maintain internal checklists and process documentation
● Ensure recurring operational tasks are completed on schedule
Meeting Coordination & Follow-Up
● Prepare meeting agendas and collect required information
● Take meeting notes and summarize action items
● Assign owners and due dates for follow-up tasks
● Track completion of action items after meetings
Administrative & Communication Support
● Assist with email coordination and internal communication
● Organize files, documents, and operational records
● Support light research and special projects as needed
● Handle miscellaneous operational and administrative tasks
Qualifications
● Extremely organized with strong attention to detail
● Fast typist; tech-savvy and comfortable with digital tools
● Strong follow-through — not afraid to follow up repeatedly
● Able to manage multiple priorities independently
● Clear written and verbal communication
● Proficient in Google Workspace, Excel/Sheets; Notion or Buildium a plus
