About the Company

The company is a growing UK short-term rental and property management business,

currently managing 12 properties with plans to scale to 25+ units.

The business is founder-led, with a lean structure supported by a virtual assistant handling

guest communication and ad hoc maintenance support. As the company enters its next

growth phase, there is a strong need to introduce structure, systems and operational

efficiency.

About the Role

We are looking for a highly organised, systems-driven, and data-focused Operations &

Systems Coordinator to take ownership of operational infrastructure and performance

optimisation across the business.

This is a foundational role where you will be responsible for:

  • Building and implementing systems, SOPs, and automations
  • Improving operational efficiency and scalability
  • Enhancing listing performance, revenue, and guest experience

You will work directly with the founder to free up their time from day-to-day operations,

enabling them to focus on growth and business development.

Key Responsibilities

Operations & Systems Management

  • Take ownership of operational systems (PMS, channel managers, internal tools)
  • Build and implement structured workflows and automations
  • Ensure data accuracy and consistency across all platforms
  • Identify inefficiencies and implement improvements

Process Improvement & SOP Development

  • Create and document Standard Operating Procedures (SOPs)
  • Build scalable systems for onboarding, training, and consistency
  • Continuously refine workflows to support business growth

OTA & Listing Performance

  • Manage and optimise listings across platforms (Airbnb, Booking.com, etc.)
  • Improve visibility, conversion rates, and content quality
  • Analyse guest reviews and feedback to drive improvements

Revenue & Channel Optimisation

  • Support pricing strategies using tools like PriceLabs
  • Monitor occupancy, ADR, and booking trends
  • Improve channel mix and encourage longer, higher-value stays

Reporting & Performance Insights

  • Track key KPIs and produce monthly performance reports
  • Analyse revenue, costs, and operational data
  • Provide actionable insights to support strategic decisions

Communication & guest retention

  • Manage urgent queries, issues, and escalations
  • Marketing and outreach to drive direct bookings
  • Manage corporate booker relations
  • Liase with Landlords regarding general queries

General Operations & Project Support

  • Build dashboards reports tracking systems
  • Support the founder with operational and strategic projects
  • Take initiative in solving problems and improving workflows

What We’re Looking For

  • Highly organised with strong systems thinking ability
  • Analytical mindset with ability to interpret data and trends
  • Experience with operational tools (PMS, channel managers, or similar)
  • Strong attention to detail across multiple platforms
  • Proactive, self-starter who can build from scratch
  • Excellent communication skills and the ability to nurture relationships

Must Have

  • Short-term rental, hospitality, or property management experience
  • Familiarity with tools like Uplisting, PriceLabs, Slack, Notion, SuiteOp
  • Basic marketing or copywriting skills
