Job Purpose:
The Operations Assistant is responsible for maintaining operational efficiency, managing brand reporting processes, ensuring facilities management, and overseeing legal and compliance communication. The role involves coordinating reporting, tracking assets, ensuring adherence to policies, and supporting operational requirements to enhance business functions.
Key Responsibilities:
MANCO & Reporting Management:
Maintain and update the MANCO Calendar.
Ensure accuracy and consistency of MANCO templates.
Manage, communicate, remind, and verify brand reporting across all brands and management levels.
Oversee bi-weekly and monthly reporting and recordings.
Maintain the INF OPS folder in the Work Drive.
KPI & OKR Management:
Draft and update Key Performance Indicators (KPIs) monthly.
Create and update Objectives and Key Results (OKRs) in the project management application annually for all brands and departments.
Policy & Standard Operating Procedure (SOP) Development:
Draft, maintain, and update SOPs and policies as required.
Ensure compliance with operational standards and company policies.
INF Operations & Facility Management:
Manage all INF OPS-related communication with the INF Team.
Supervise daily duties of cleaners at both properties.
Oversee stock orders for kitchen and building supplies.
Handle deliveries and collections at the Longmeadow office.
Manage maintenance and repair requirements for the INF Riley Road building.
Address and resolve facilities-related queries at both properties.
Oversee key management and master access control for the INF Riley building.
Ensure all building-related Service Level Agreements (SLAs) are maintained (e.g., pest control, hygiene control).
Handle insurance claims related to facilities and oversee necessary repairs post-approval.
Asset Management:
Update and maintain the asset list/register.
Track asset movement using the asset app.
Ensure asset values are balanced by accounts on a quarterly basis.
Coordinate with HR to ensure compliance with asset policies.
Legal & Compliance Support:
Act as a communication filter for all legal matters to control costs, time, and feedback.
Track progress on legal cases and ensure procedural compliance.
Assist with contract translations for new franchisees (Zee’s).
Monitor legal expenses and liaise with lawyers regarding costs.
General Duties & Team Collaboration:
Consistently manage priorities to meet deadlines and deliverables.
Follow any lawful and reasonable instructions from the General Manager.
Support team members to achieve collective objectives.
Exhibit and uphold company values at all times.
Requirements
Bachelor’s degree or relevant qualification in Business Administration, Operations Management, or a related field (preferred).
3+ years of experience in operations coordination, compliance, or facility management.
Proficiency in project management tools and reporting software.
Experience in legal and policy compliance is an advantage.
