Rohloff Group is seeking a proactive, highly organised and professional Office & Travel Coordinator to manage all business travel, coordinate offsite venue bookings, and support the smooth day-to-day operation of the office. This role provides key administrative and coordination support to the Executive Assistant and works closely with all departments and Executive stakeholders to ensure seamless delivery of services in line with company policies, standards, and budgets.
What You'll Do
- Travel Coordination
- Manage all domestic travel arrangements for the Group, including flights, vehicle hire, and accommodation bookings
- Occasional support relating to international travel coordination
- Ensure cost-effective bookings aligned with company travel policies and budgets
- Maintain accurate travel records, itineraries, and confirmations
- Act as the primary point of contact for travel-related queries and changes
- Events & Meetings
- Source, book, and coordinate venues for meetings, training sessions, and company events
- Coordinate logistics for events, including catering and equipment where required
- Support the planning and execution of internal and external events, including catering, logistics, and vendor coordination
- Liaise with suppliers to ensure professional, seamless event delivery
- Office Management & Operations
- Oversee daily office operations to ensure a well-functioning, organised, and professional environment
- Coordinate office services, suppliers, and facilities requirements
- Arrange office maintenance, repairs, and general upkeep
- Manage service providers and suppliers to ensure timely issue resolution according to company standards
- Ensure meeting rooms and shared spaces are functional, well‑managed, and professionally presented
- Administrative & Executive Support
- Provide support to the Executive Assistant with ad hoc tasks, particularly where the Leadership Team is involved
- Assist with coordination of meetings, workshops, and related logistics
- Collaborate with internal stakeholders to ensure efficient communication and execution of tasks
What You'll Bring
- 5+ years’ experience in travel coordination (individual and group bookings), office administration, or a similar role
- Proven experience in event coordination and venue bookings
- Diploma or Advanced Certificate (relevant field)

- Comfortable using Canva to create basic visual materials for presentations, events, and internal communication
- Valid driver’s licence and own vehicle
