Medical Receptionist – CBD Jobs in Cape Town, South Africa at Guardian Recruiting (Pty) Ltd

Specialist in relocating their Private practice to the CBD requires a competent and strong administrator to support her practice.

Role includes but is not limited to :

Reception :

Answer all calls in a professional, courteous, and efficient manner.

Take messages and ensure they are actioned by the relevant person.

Maintain the issue logbook for all messages and matters that arise daily.

Assist with phone, email, or SMS communication with patients regarding feedback from the doctor.

Manage the diary – booking patient appointments and communicating billing policies to new patients.

Prepare all files for the following day’s appointments.

Greet patients in a friendly and professional manner, communicating any delays to manage expectations.

Verify and update patient details on file, obtaining new information if necessary.

Create accounts and accurately capture information for new patients.

Contact other doctors to obtain notes and referral letters as needed.

Obtain patient results and related correspondence (lab, radiology, etc.).

Ensure patients receive relevant information and forms for procedures, operations, or hospitalization.

Provide quotations for patient procedures.

Prepare theatre list bookings and pre-authorizations.

Assist in arranging anesthetists and assistants for surgeries.

Ensure all clinical notes are captured post-surgery.

Track assistant fees and payments.

Monitor cases where the doctor has assisted in surgeries.

Assist with doctors’ reports and thank you letters as needed.

Manage pharmacy accounts and stock per doctor.

Accounts :

Bill patients and collect payments.

Accept payments via cash or card and issue receipts.

Ensure theatre billings are completed within 48 hours.

Liaise with the bureau on patient queries and assist with debt collection.

Perform month-end processing.

Handle daily banking and maintain petty cash.

General :

Schedule administrative appointments with the doctor and service providers.

Liaise with contractors (hospital technical, IT, suppliers).

Maintain all supplier contracts and agreements.

Order stock from pharmacies, stationers, etc.

Support marketing initiatives.

Assist the doctor with office admin tasks.

Maintain the CPD register.

Proven medical reception/administration experience and familiarity with medical terminology are preferred. Ability to converse in both English and Afrikaans is required. Driver’s license and own vehicle are essential.
