Job Description:
At Little Hearts Medicare, we are growing our team and looking for a dedicated Medical Office Administrator/ Practice Manager to support the smooth, day-to-day functioning of our centre. As a member of our front-office support team, the Office Administrator will work closely with the receptionist to ensure operational excellence, patient satisfaction, and seamless coordination between healthcare professionals, parents, and external stakeholders.
Key Responsibilities: Front Office & Reception Support
Assist the receptionist with managing front desk operations
Provide backup cover for the receptionist when required
Welcome patients and families with warmth and professionalism
Practice Administration
Oversee ordering and stock control of medical and office supplies
Track and follow up on outstanding patient and stakeholder accounts or payments
Manage internal checklists, service contracts, and maintenance needs
Support basic conflict resolution in a courteous, empathetic manner
Digital & Communication Support
Respond to patient queries via phone, email, WhatsApp, and social media
Assist with promotional material preparation and liaise with the marketing team
Help coordinate in-house events such as community health talks or parent workshops
Coordination & Data Oversight
Maintain provider schedules using the booking system
Assist with monthly performance reports (patient volumes, billing, logs)
Ensure compliance with data privacy laws (e.g. POPIA)
Health & Safety Oversight
Conduct routine checks using standard safety checklists
Ensure adherence to facility infection control and safety protocols
Requirements:
Minimum 2 years’ experience in medical administration or a healthcare practice setting
Proficient in Microsoft Office Suite and/or practice management systems (e.g. Healthbridge)
Strong written and verbal communication skills in English (additional South African language is an advantage)
Comfortable with social media messaging, email systems, and WhatsApp for business
Familiarity with POPIA and basic patient confidentiality protocols
Qualifications:
Diploma or Certificate in Medical Administration, Office Management, or a related field
Valid South African ID or Work Permit
Basic First Aid (advantageous but not essential)
Skills and Attributes:

Highly organized, detail-oriented, and capable of multitasking in a fast-paced setting
Ability to maintain discretion, confidentiality, and professionalism at all times

Team player who works collaboratively with healthcare providers and administrative staff
