OBJECTIVE OF ROLE
Key responsibilities include managing Material Requirements Planning (MRP) systems to generate purchase, ensuring On-Time-In-Full (OTIF) delivery of materials, and determining the correct order quantities based on demand forecasts, safety stock, and lead times. The role involves actively maintaining accurate inventory levels, ensuring data integrity, and balancing supply with demand to prevent shortages or overstock.?
The planner is also responsible for managing operational transactions with material suppliers, including purchase order placement, confirmations, expediting deliveries, resolving discrepancies, and maintaining up-to-date system records. Close collaboration with procurement, suppliers, manufacturing, and quality teams is essential to ensure smooth supply flow.
KEY RESPONSIBILITIES
Planning & MRP Management
?
- Maintain and manage Material Requirements Planning (MRP) parameters and data accuracy?
- Generate and review planned orders, purchase requisitions, and production orders?
- Align material supply with the production schedule and demand forecasts?
- Monitor and adjust planning inputs (lead times, safety stock, MOQ, etc.)?
- Identify and mitigate supply risks and shortages proactively and communicate effectively to relevant departments. ?
OTIF (On-Time-In-Full) Delivery Performance

- Ensure materials are available on time and in full to meet production requirements?
- Track and manage supplier delivery performance against OTIF targets?
- Expedite critical materials to avoid supply disruptions?
- Respond to demand or supply variability with appropriate planning actions?
Inventory Management & Accuracy
?
- Maintain optimal inventory levels, balancing availability with working capital targets?
- Monitor stock levels to prevent shortages, excess, or obsolescence?
- Ensure accurate inventory records within ERP systems?
- Support cycle counts, stock reconciliation, and inventory audits?
- Maintain batch traceability and compliance with GMP requirements?
Supplier & Operational Transaction Management

- Execute and manage operational transactions with suppliers?
- Ensure products are placed with the aligned pricing with procurement team?
- Create, release, and maintain purchase orders in the ERP system??
- Obtain and track order confirmations from suppliers?
- Expedite deliveries and follow up on late or incomplete orders?
- Resolve discrepancies (quantity, quality, delivery timing, documentation)?
- Maintain accurate and up-to-date transactional data in systems?
- Act as a key point of contact for supply-related operational issues?
Supplier purchase and payment
?
- Oversee purchase approval process?
- Manage the processing of invoices and effecting of payments?
- Manage financial documents in accordance with financial controls (e.g. invoices and delivery notes are sent to finance to ensure payment takes place on time)?
Returns
?
- Ensure all non-conforming materials are returned for credit and actions are put in place to prevent or reduce future quality issues?
Reporting and record keeping
?
- Keep complete records for all purchase transactions?
- Maintain filing and record keeping of all financial documents ?
- Ensure compliance with SOPs and organisation policies relating to Purchasing and Finance?
- Provide detailed reports on work activities to supervisor, as required
Cross Functional Collaboration
?
- Work closely with Procurement, Quality Assurance, Manufacturing, Warehouse, and Supply Planning?
- Participate in Sales & Operations Planning (S&OP) / Integrated Business Planning (IBP) processes when required?
- Coordinate with Quality on material release, deviations, and change controls
- Align with Planning manager on inventory targets, provisions, and cost controls?
