Junior HR Generalist

Reporting to:

Branch Manager and HR Director

Job purpose:

The HR Administrator/Generalist supports the HR department in delivering efficient and compliant HR services, including recruitment, employee relations, training coordination, HR administration, and compliance with labour legislation.
This role is designed to build foundational HR skills and experience, preparing the incumbent for progression to an HR Manager role within 3–5 years through targeted development and exposure to strategic HR functions.

KEY RESPONSIBILITIES AND JOB DESCRIPTION

Duties:

Activities:

Recruitment and Onboarding

Assist in drafting job advertisements and posting vacancies on relevant platforms (e.g., PNet, LinkedIn, Trafalgar Website).
Screen CVs, coordinate interviews, and conduct reference checks
Facilitate onboarding processes, including preparing employment contracts, induction packs, and coordinating orientation sessions.

Employee Administration

Maintain accurate employee records in the HR system
Process HR documentation, including leave applications, terminations, promotions, and disciplinary records.
Prepare monthly HR reports, such as headcount, absenteeism, and turnover statistics.

Employee Relations Support

Assist in managing employee queries related to HR policies, benefits, and payroll.
Support disciplinary and grievance processes by preparing documentation and scheduling hearings in line with the Labour Relations Act (LRA).
Promote a positive workplace culture by assisting with employee engagement initiatives (e.g., wellness programs, team-building events).

Training and Development Coordination

Coordinate training programs, including scheduling sessions, booking venues, and tracking attendance.
Assist in identifying training needs and maintaining records for Skills Development Levies (SDL) submissions to the SETA.
Support the implementation of the Workplace Skills Plan (WSP) and Annual Training Report (ATR).

Payroll Support

Oversee with Payroll Administrator to ensure accurate input of payroll
Verify employee data for payroll processing, such as banking details and statutory deductions.
Assist in resolving payroll-related queries from employees.

Compliance and Reporting

Ensure compliance with labour legislation, including the Basic Conditions of Employment Act (BCEA), LRA, and Employment Equity Act (EEA).
Assist in preparing Employment Equity reports and submitting them to the Department of Labour by the annual deadline (1 October).
Maintain confidentiality of HR data in line with the Protection of Personal Information Act (POPIA).

Succession Development

Participate in mentorship and training programs to develop skills in strategic HR areas (e.g., talent management, organizational development).
Shadow the HR Manager in high-level tasks, such as policy development and performance management, to build managerial competencies.
Complete at least one HR-related certification within 2 years to support career progression.

ROLE REQUIREMENTS

Qualifications:

National Diploma or Bachelor’s Degree in Human Resource Management, or a HR-related certification

Minimum Experience:

Minimum of 1–2 years of experience in an HR administrative or generalist role. Exposure to labour legislation and HR systems is essential.
Experience in a corporate or medium-sized organization (50+ employees) is preferred.

COMPETENCIES AND SKILLS

Proficiency in HRIS platforms
Strong knowledge of Microsoft Office, particularly Excel (e.g., data analysis, pivot tables) and Word.
Familiarity with recruitment platforms and SETA reporting systems.

Legislative Knowledge:

Advance understanding of BCEA, LRA, EEA, Skills Development Act, and POPIA.
Awareness of SARS payroll requirements (e.g., UIF, SDL) is a plus.
