Reports to: Human Resources Manager

Working Hours: Monday– Saturday 6:30 PM – 3:00 AM South African Standard time, occasional OT required by business needs.

Salary: Market related- to be discussed in interview

Position Summary

The HR Payroll Administrator is responsible for executing payroll, benefits, HRIS, compliance, and administrative HR processes with a high degree of accuracy, confidentiality, and timeliness.

This role supports the full employee lifecycle through payroll administration, benefits processing, employee records management, onboarding administration, reporting, and compliance-related activities, while following established procedures and guidelines.

This is a process-driven, transactional role focused on data management, payroll accuracy, benefits administration, reporting, and employee support. Responsibilities also include maintaining accurate employee records, assisting with benefits changes that impact payroll, and providing administrative support across HRIS, recruitment, and onboarding activities. This includes data entry, coordinating orientation meetings, and preparing relevant documentation.

All work is performed under the direction of the HR Manager, who is based in the USA. The client is also based in the USA, providing the successful candidate with valuable international experience working within a global US freight forwarding company and exposure to international HR and business operations.

Essential Duties & Responsibilities:

Payroll Administration

• Process semi-monthly payroll for hourly and salaried employees in accordance with established payroll procedures.

• Review, validate, and enter payroll-related data including earnings, deductions, wage changes, bonuses, commissions, garnishments, and benefits deductions.

• Process payroll corrections, adjustments, retroactive payments, and timecard updates as needed.

• Respond to employee payroll inquiries and assist with payroll issue resolution.

• Support employees and supervisors with timekeeping system questions and payroll-related requests.

• Conduct routine payroll audits to ensure data accuracy and compliance.

• Prepare payroll reports including overtime, PTO balances, attendance, labor, and compliance reporting.

• Coordinate with payroll vendors and internal stakeholders to resolve payroll discrepancies and system issues.

• Process and respond to payroll-related tax notices and reporting requirements.

• Administer wage garnishments, child support orders, tax levies, and other court-ordered payroll deductions, ensuring accurate setup, processing, recordkeeping, and timely remittance in compliance with applicable regulations.

• Maintain payroll records and supporting documentation in accordance with company policies.

 

Benefits Administration

• Process benefit enrollments, status changes, qualifying life events, and terminations.

• Maintain benefit deductions and employer contribution records within payroll and HRIS systems.

• Track benefits eligibility and assist with enrollment-related communications.

• Coordinate benefit invoice reviews and reconciliation support with Accounting.

• Maintain records related to leaves of absence, benefit deductions, and employee contributions.

• Support benefits audits and compliance reporting activities.

• Assist employees with routine benefits questions and direct complex issues to the HR Manager or benefits providers.

 

HRIS & Employee Records Administration

Maintain accurate employee data within HRIS, payroll, and related systems.

• Process new hire, transfer, promotion, compensation, and termination transactions in HR systems.

• Maintain electronic personnel files, payroll records, trackers and SharePoint documentation.

• Conduct periodic personnel file audits to ensure required documentation is complete, accurate, and compliant.

• Ensure confidentiality and integrity of all employee information.

• Prepare regular and ad hoc reports for HR, Finance, and leadership teams.

 

Onboarding & Recruiting Administration

Provide administrative support for recruiting activities including interview scheduling, candidate communications, and documentation preparation.

• Maintain accurate data within HRIS & Applicant Tracking Systems.

• Prepare new hire paperwork, onboarding packets, and system setup requests.

• Enter new hire information into HRIS and payroll systems.

• Coordinate onboarding logistics and orientation scheduling.

• Track onboarding completion requirements and maintain onboarding records.

• Support background check, employment verification, and new hire documentation processes.

 

Workers’ Compensation & Leave Administration Support

• Maintain workers’ compensation claim records and supporting documentation.

• Enter and update claim information in SP tracker.

• Track leave of absence and workers’ compensation payroll impacts.

• Ensure employee status changes, leave deductions, and claims-related information are accurately reflected in payroll records.

• Assist with audit preparation and compliance documentation related to workers’ compensation and leave administration.

 

Compliance & Reporting

Assist with payroll, benefits, personnel file, and compliance audits.

• Generate reports related to payroll, benefits, PTO balances, overtime, compliance, and workforce data.

• Ensure HR and payroll processes are completed in accordance with company policies and applicable regulations.

• Maintain accurate records and documentation to support audit readiness.

• Prepare documentation and reports requested by HR leadership and Finance.

 

Administrative Support

Coordinate HR meetings, training sessions, and employee communications as assigned.

• Assist with employee engagement initiatives, recognition programs, and company events.

• Maintain HR department files, forms, templates, and administrative records.

• Provide administrative support for HR projects and process improvement initiatives.

• Perform other HR administrative duties as assigned.

 

Qualifications:

Education & Experience

• High School Diploma or equivalent required.

• Associate’s degree in Human Resources, Business Administration, Accounting, or related field preferred.

• 2–4 years of experience in payroll, HR administration, benefits administration, or human resources support.

• Experience working with HRIS and payroll systems is highly preferred.

• Experience supporting multi-state payroll processing preferred.

• Experience with Paylocity or similar payroll platforms preferred.
