Key Responsibilities:

Human Resources (HR) Support:

  • Liaise with recruitment agencies and intermediaries; coordinate and participate in interviews.
  • Draft, review, and manage employment agreements and salary negotiations.
  • Maintain and update HR databases, ensuring accurate and organized records.
  • Approve and manage team holiday requests in line with operational schedules.
  • Provide administrative assistance to the broader team, including meeting scheduling and internal coordination.
  • Review and monitor salary and client payment processes, working closely with the accountant.
  • Track and update payment records in Excel.
  • Coordinate company travel bookings (flights, hotels) as needed.
  • Organize company events and off-sites, including venue bookings, meeting rooms, and catering arrangements.

Executive Assistant to Executive Director:

  • Manage the Executive Director’s daily work agenda, including meeting links and relevant notes.
  • Oversee and maintain the working calendar with reminders and time-sensitive items.
  • Execute various ad hoc administrative tasks to support day-to-day operations.
  • Prioritize urgent matters and handle confidential information with discretion.

Personal Assistant Support:

  • Assist the Executive Director with private arrangements, including personal travel, appointments, and errands (e.g., shopping, medical bookings).
