Responsibilities
Conduct assessments on all clients, develop action plans, and establish time frames.
Perform site visits and on-site meetings with clients as necessary.
Develop and email action plans, including a schedule for the way forward.
Create all necessary documents, files, and contractor packs.
Respond promptly once the index is received from the client.
Contact clients for safety file requirements on the same day the request is received.
After receiving and acting on the index, promptly request any additional documents needed from the client.
Ensure a clear scope of work is confirmed by the client.
Maintain open and ongoing communication with clients.
Deliver files to clients, allowing sufficient time to review and discuss, aiming for client sign-off in your presence.
For one-off clients, send a follow-up email one week after delivering the file to monitor progress.
If developing contractor packs on Passport 360 or HSEC Online, ensure this is completed accordingly.
Manage bookings for training, inductions, and medicals through MSHEQ.
Track expiration dates for medicals, inductions, and training.
Arrange payments for medicals when necessary.
Communicate booking details and relevant information to clients.
Notify clients of upcoming expiry dates 30 days in advance.
Keep clients informed about progress regularly.
Send weekly reports to the head of consulting every Friday for retainer clients.
Ensure all work is performed on One Drive within the relevant client folders; no work should be done on desktops.
Immediately save all documents received via email to One Drive.
Adhere to MSHEQ policies and procedures regarding the POPI Act.
Schedule and conduct site visits, updating travel sheets promptly.
Make travel arrangements before visiting sites and coordinate with colleagues to optimize trips, ideally addressing all clients at a site simultaneously.
Maintain good relationships with personnel on client sites.
Manage client risks identified during assessments.
For clients with safety files, ensure all relevant risks are identified and control measures implemented.
Stay updated on changes in laws and regulations by subscribing to relevant sources.
Schedule audits with clients, send introductory emails with audit criteria, and ensure punctuality.
Conduct on-site audits, including documentation review and facilities inspection.
Develop audit reports promptly and verify payment receipt with finance before delivery.
Deliver audit reports in person and hold close-out meetings with clients.
Identify potential selling opportunities during audits and inform clients about MSHEQ’s assistance options.
Follow up one month after audit report delivery to monitor the progress of addressing findings.
Be prepared for overnight trips to client sites as required.
