Position Overview: We are looking for someone (Mid-Level) who thrives in a fast-paced environment and has a strong foundation in office administration and accounts management. If you have 4-5 years of experience and are eager to grow and take on new challenges, this could be the perfect fit for you!

Key Responsibilities:

Accounts Management: Create quotes, invoices, and follow up on accounts in arrears to ensure payments are received on time.

Daily Operations: Manage incoming calls, emails, and mail correspondence.

Office Supplies: Order and maintain office supplies (e.g., tea, coffee, milk).

Monthly Supply Orders: Handle monthly orders, replacements, and low stock items.

Project Expense Tracking: Capture project expenses on Xero “Projects” and ensure accurate billing.

Hardware Orders: Coordinate hardware orders for ongoing projects.

Job Cards & Field Prep: Create job cards on Job-Box and ensure efficient field preparation.

Stocktaking & RMA Supervision: Conduct stocktaking and supervise RMAs.

Sales & Marketing Support: Assist with Linked In outreach, sales calls, and social media posts.

Customer Support: Support the team in handling queries and maintaining customer satisfaction.

Inventory & Supplier Management: Manage inventory and source suppliers / contractors as needed.

What We’re Looking For:

4-5 years of relevant experience in office administration and accounts management.

Experience in the listed responsibilities is non-negotiable.

Proven experience in accounts (including invoicing, quotes, and accounts receivable management).

Strong initiative and a go-getter attitude – someone who thrives when working independently and is motivated to take on new challenges.

Ability to manage multiple tasks with attention to detail and efficiency.

Excellent communication skills and the ability to build strong working relationships.

Experience using Xero for project expense tracking and invoicing.

Familiarity with JIRA for task and ticket management.

Proficiency with Google products (Google Sheets, Google Meet, Gmail, etc.) for collaboration and communication.

A highly motivated personality with a passion for delivering results.
