JOB DESCRIPTION

Reservations and Guest Services

As our Reservations and Guest Services expert, you will be responsible for the day-to-day well-being of our guests, including check-in and check-out, general advice, and all bookings via our channel managers and our website.

Experience

Must speak and write good English with correct grammar, spellin, and punctuationg.

Competent in math, able to understand and calculate rates correctly.

Competent in effectively using reservation systems, payment platfors, and other accommodation- related IT systems.

Ability to learn quickly, se multiple systems, and provide professional,l helpful responses using correct templates and company information.

Punctual and efficient.

National Senior Certificate or equivalent

Previous experience in a similar role is preferred, but not always required

Training in administrative procedures or office management can be beneficial

Excellent communication, guest service and time management skills

Proficiency in using office equipment (e.g., phone systems, printers)

Organisational and multitasking abilities

Attention to detail and accuracy in administrative tasks

Customer service orientation

Knowledge of basic computer applications

Ability to organise, fore-plan, and handle stressful situations with calmness and professionalism

A team player and a self-starter, yet able to work independently

This job includes the following essential duties and responsibilities:

Front of House and Reservations

Handling reservations and enquiries via email, electronically, by phone, and through walk-ins during reception, including but not limited to.

Enquiries – providing correct details, rates & availability

Converting enquiries – wiht a friendly professional manner, making sure guests have a good experience and are happy

Bookings – following procedures so all correct data is sent, collected and recorded

Payments – sending links, chasing deposits, recording so all monies are charged correctly, collected on time, and detailed within systems

Teamwork – with staff for seamless checkin-ins and check-outs

Guest/Agent liaising throughout the booking process to final check-out and post check-out

Information & Recommendations – helpfully assisting when needed, so guests are provided with our recommendations and accurate tourism details

Out of hours late check-ins and guest assistance – for arrivals and in-house guest emergencies when on call

Agent correspondence – develop and build stongng friendly working relationships

Post check-out communication – dealing with losses and breakages, final invoice, guest feedback, etc.

General Phone Queries

Escorting guests to properties, showing them around the propert ,and providing them with detailed property information

Checking all keys, all keys signed in and out by staff, all guest keys and vehicle permits returned and in order and clean for the next guests
