Position:  Finance: Online Commerce Coordinator Finance · Ackermans Support Centre

The Online Commerce Coordinator will be responsible for the revenue reconciliation process, initiating the returns and refunds process as well as basic reporting relating to the online store.

We’re a fully in-office team. This role is based at our Support Centre in Kuils River, Cape Town.

ROLE RESPONSIBILITIES:

Reconciliations & Journals

a)Revenue reconciliations

Perform daily reconciliation of all online transactions.

Follow up on all exceptions with banks and other relevant service providers.

Investigate and resolve any discrepancies and/or exceptions.

b) Monthly reconciliations

Preparing of monthly bank reconciliations

Query, resolve and journalise reconciling items

Communicationof reconciling items across teams

Balancing online “stores” bank statements to General Ledger for bank accounts

Match of correction journals against reconciling items

Compile bank account summary reporting

Compare the daily bank statement movement to the General Ledger account movement

Posting of journals

Monitor and reconcile wallet balances monthly.

Chargeback, refunds / returns

a)Refund to customer on failed transactions and/or other payments

Monitor the Google Cloud Alerting Messages Daily and action refund requests

Checking on charge backs

Ensure entries are valid

Process valid charge backs only

Ensure funds is received before a reversal is done

Confirms & collates documentation for release of refund

Allocate refunds (journalise)

Refer all refunds for approval

Communicate with relevant parties where needed

b)Liaise with Inventory team regarding stock returned and adjustments required

c)Liaise with the Treasury team on refunds to customer on failed/returned items/orders

Administration & reporting

a) Online Commerceadministration

Check online orders

Track payments for online purchases

Extract settlement reports

Ensure all payments reflect in our banking accounts

Tracking of payments (successful, failed, etc.). Understand end-to-end cycle of the sale

Checking that online portal agrees to bank statement

Ensure that payment matching is done

Following up on missed settlements

Communicationwith Online Commerce system support team, where necessary

Querying any errors on reports

Liaise and assist the Order Fulfilment team with any finance queries relating to the online store

Assist with queries

Do Stock adjustments for non-collect orders

b) Online commerce reporting

Report on customer conversion rates based on source data from the Peach paymentgateway

Analyse monthly transport costs and prepare monthly accruals

EXPERIENCE REQUIRED:

Essential:

At least 3 years’ experience in financial administration, including reconciliations

Experience working across a number of different business units

Preferred:

Experience in working within the retail corporate environment

QUALIFICATIONS REQUIRED:

Essential:

A National Diploma in Finance / Accounting or related field

Preferred:

A Bachelors Degree in Finance / Accounting or related field

JOB RELATED KNOWLEDGE AND SKILLS REQUIRED

KNOWLEDGE required:

Solid knowledge and understanding of accounting principles, procedures and application

Strong administration knowledge and ability

Strong financial systems knowledge

SKILLS required:

The ability to investigate exceptions, anomalies and discrepancies
